Overview:
The Office Coordinator will facilitate the daily functions of Body Energy Club's corporate and franchise outlets. Key responsibilities encompass pricing assessments, product oversight, supplier engagement, and compiling reports on sales and other essential metrics. This role also includes managing store security, coordinating maintenance and repairs, and ensuring adherence to company protocols.

The Office Coordinator will support upper management by preparing financial plans, monitoring sales competitions, and communicating promotions and tasks to store personnel.

Additional responsibilities involve scheduling management, compliance auditing, and overseeing customer feedback.

This position demands exceptional organizational abilities, meticulous attention to detail, and a proactive mindset in supporting store operations and sales strategies.


Key Responsibilities:
Pricing and Product Management
Conducting vendor price evaluations
Onboarding new suppliers and facilitating the introduction of new products to the market.

Supplier Relationship Management
Reporting and Analysis
Generate reports on store performance indicators, including sales, units per transaction, inventory loss, and other metrics as needed
Coordinate inventory assessments and summarize findings for review
Prepare sales reports upon request
Draft monthly financial plans for review
Security and Compliance
Manage administration on the company’s security portal
Maintain records of store keys and request duplicates as necessary
Review and approve manager time records, flagging discrepancies to the District Manager
Investigate and report cash deposit inconsistencies
Maintenance and Operations:
Coordinate repairs and maintenance for all corporate locations, including obtaining multiple estimates, organizing work orders, and approving completed jobs
Conduct regular store visits to assess maintenance and overall condition
Oversee the Secret Shopper program
Meetings and Communication:
Confirm, track, and participate in corporate store meetings
Assist upper management in following up on outstanding tasks both internally and externally
Communicate events, promotions, and tasks to stores, ensuring confirmation or acknowledgment of receipt
Promotions and Financial Planning
Monitor sales competitions and active promotions, reporting findings
Prepare sales budgets and objectives for review
Review and post open statements
Handle gift card requests and other promotional inquiries (special merchandise requests, etc.)

Audit and Compliance
Review food tracking sheets and flag violations to senior management
Examine GO audits, Controlio, and Cloud Cover to ensure compliance
Review and report on Google reviews, following up on customer resolutions via Google Tracker
Scheduling
Review and track statutory holiday sales and plan upcoming store hours
Ensure store hours align with traffic requests
Additional Responsibilities
Vet and respond to inquiries as needed, including supplier questions
Assist upper management with various tasks as required
Minimum Job Requirements:
Flexible schedule availability during business hours from Monday to Friday and on-call as necessary
Maintain consistent punctual attendance and contribute positively to team morale
Education/Certifications:
Bachelor's degree in a field related to retail management or equivalent experience
Experience:
3+ years of experience in the health supplement sector preferred
5+ years of experience in a retail management setting required
Experience in the hospitality industry is an asset
Knowledge, Skills, and Abilities:
Excellent verbal, written communication, and interpersonal skills
Strong knowledge of nutrition and supplements is considered an asset
Proficient with computers, various software applications, and all Microsoft programs
Expertise in retail management and in-store systems, policies, and procedures
Goal-oriented and capable of achieving optimal results
Strong ability to multitask under pressure and make sound decisions
Ability to work with moderate supervision and address team inquiries/concerns
Passionate and knowledgeable about Body Energy Club products and promoting a healthy lifestyle
Working Conditions and

Physical Effort:

Requires prolonged sitting at a computer or other connected devices
Occasional travel to multiple store locations for support as needed
Requires the ability to see, hear, and communicate with associates and others while utilizing professional etiquette
