Job Summary

We are seeking a highly motivated and organized Project Coordinator to join our construction, planning, and real estate team. As a key member of our team, you will provide administrative and coordination support for our senior living homes property, ensuring seamless operations and exceptional resident experiences.

Key Responsibilities
  • Review and process incoming invoices, ensuring timely submission to Accounts Payable
  • Communicate with vendors regarding outstanding invoices and errors
  • Create cheque requisitions, obtain approvals, and submit to AP for generation
  • Maintain project budgets in Yardi, ensuring accuracy and up-to-date information
  • Assist in preparing project proformas and updates on an ongoing basis
  • Create and manage POs and Contracts in Yardi
  • Collaborate with the Finance team to identify items requiring reclassification in Yardi
  • Consolidate files for cost consultants on a monthly basis
  • Liaise with the Finance team for monthly cost report reviews
  • Organize and maintain folder structures and shared team drives in SharePoint
  • Prepare MLTC project milestone submissions to the Ministry
  • Attend project meetings and action outstanding SSL items
  • Assist with preparing weekly and monthly development updates
  • Collaborate with the Procurement team for Owner Supplied Equipment packages
Requirements
  • Post-Secondary Degree or Diploma in a related field
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Excellent interpersonal and communication skills, with strong written and verbal communication skills
  • Highly motivated self-starter with a "can-do" attitude and ability to take initiative, prioritize, and work productively under demanding timelines
  • Ability to handle sensitive and complex issues with discretion, confidentiality, and good judgment
  • Solid organizational, analytical, and problem-solving skills
