Join CreateTO, a City of Toronto agency, as we shape the future of Toronto through impactful real estate solutions. We are seeking an experienced Executive Assistant and Board Administrator to support our senior leaders and Board of Directors.

About the Role

This is a unique opportunity to work in a hybrid environment, supporting the Chief Legal Counsel & Corporate Secretary and senior members of the legal team. As an Executive Assistant and Board Administrator, you will be responsible for providing administrative support, coordinating meetings, and managing Board-related tasks.

Key Responsibilities
  • Provide administrative support to senior leaders, including scheduling, correspondence, and data management.
  • Coordinate meetings, including Board meetings, and ensure timely preparation of materials.
  • Manage Board documentation, including minutes, reports, and correspondence.
  • Develop and maintain relationships with Board members, City staff, and external stakeholders.
  • Perform other administrative tasks as required.
Requirements
  • Minimum 3+ years of executive administrative experience, preferably in a governance setting.
  • Post-secondary diploma in Office Administration or Legal Administration, or equivalent work experience.
  • Excellent coordination, prioritization, and follow-up skills.
  • Strong interpersonal and communication skills.
  • Ability to work with confidential information and maintain discretion.
  • Proficiency in Microsoft Office and other business applications.
