Role Overview

We are in search of a proactive and energetic individual to assume the role of Workplace Operations Coordinator. This position is accountable for managing various facets of our workplace to foster a positive and efficient working atmosphere. The ideal candidate will possess a meticulous attention to detail, outstanding organizational capabilities, and a commitment to enhancing the employee experience. Please note that this role requires on-site presence.

Key Responsibilities:

1. Reception Management:

· Supervise front desk activities, ensuring a welcoming and professional reception environment.

· Handle the mailroom and manage all incoming and outgoing office deliveries.

· Generate Guest WI-FI passes as needed.

2. Facility Oversight:

· Manage daily operations of office facilities to guarantee a clean, safe, and productive setting. Ensure the cleanliness and safety of designated areas, including kitchens and equipment. Conduct daily inspections, promptly reporting and escalating any issues to your supervisor and team members as necessary.

· Liaise with building management and external service providers for maintenance, repairs, and other facility-related services.

3. Event Planning:

· Organize employee events, including catering, venue selection, and entertainment arrangements.

· Provide administrative and technical support for corporate meetings.

· Coordinate corporate community outreach initiatives.

4. Promotional Item Management:

· Oversee the corporate promotional item program, ensuring a consistent and positive brand representation.

· Manage the logistics of promotional item distribution, including warehousing, ordering, and international shipping.

5. Travel Accommodation Approval:

· Assess and authorize travel accommodation requests in line with our Travel Policy.

Qualifications:

  • Demonstrated experience in facilities management, office administration, or related fields.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Familiarity with travel coordination and vendor management.
  • Creative approach to designing and implementing employee engagement initiatives.
  • Proficiency in Microsoft applications such as Word, Excel, and PowerPoint.
  • Strong proficiency in both written and verbal English and French communication is essential for effective correspondence with clients, suppliers, business partners, and colleagues.
