About the Role

We are seeking a highly skilled and proactive individual to fill the role of Workplace Experience Specialist. This position is responsible for overseeing various aspects of our workplace to ensure a positive and efficient working environment.

Key Responsibilities
  • Reception and Front Desk Operations
    • Oversee front desk operations to ensure a welcoming and professional reception area.
    • Manage the mailroom and all aspects of incoming and outgoing office deliveries.
    • Create Guest WI-FI passes as required.
  • Facilities Management
    • Oversee the daily operations of office facilities to ensure a clean, safe, and productive environment.
    • Maintain and coordinate the cleanliness and safety of assigned areas, including kitchens, and equipment.
    • Perform daily rounds, promptly reporting and escalating any issues to your lead and team members as needed.
  • Event Coordination
    • Coordinate employee events, including catering, event space, and entertainment.
    • Provide administrative and technical support for corporate meetings.
    • Organize corporate community outreach initiatives.
  • SWAG Distribution and Brand Management
    • Oversee the corporate SWAG program, ensuring a consistent and positive brand image.
    • Manage the coordination of SWAG distribution, including warehousing, ordering, and international shipping.
  • Travel Accommodations and Vendor Management
    • Evaluate and approve travel accommodation requests in accordance with our Travel Policy.
Requirements
  • Proven experience in facilities management, office administration, or related roles.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Familiarity with travel coordination and vendor management.
  • Creative mindset for designing and implementing employee engagement initiatives.
  • Proficiency in the use of Microsoft applications such as Word, Excel, and PowerPoint.
  • Strong proficiency in both written and verbal English and French communication essential for effective correspondence with clients, suppliers, business partners, and colleagues.
