About the RoleWe are seeking a highly skilled and proactive individual to fill the role of Workplace Experience Specialist. This position is responsible for overseeing various aspects of our workplace to ensure a positive and efficient working environment.
Key Responsibilities- Reception and Front Desk Operations
- Oversee front desk operations to ensure a welcoming and professional reception area.
- Manage the mailroom and all aspects of incoming and outgoing office deliveries.
- Create Guest WI-FI passes as required.
- Facilities Management
- Oversee the daily operations of office facilities to ensure a clean, safe, and productive environment.
- Maintain and coordinate the cleanliness and safety of assigned areas, including kitchens, and equipment.
- Perform daily rounds, promptly reporting and escalating any issues to your lead and team members as needed.
- Event Coordination
- Coordinate employee events, including catering, event space, and entertainment.
- Provide administrative and technical support for corporate meetings.
- Organize corporate community outreach initiatives.
- SWAG Distribution and Brand Management
- Oversee the corporate SWAG program, ensuring a consistent and positive brand image.
- Manage the coordination of SWAG distribution, including warehousing, ordering, and international shipping.
- Travel Accommodations and Vendor Management
- Evaluate and approve travel accommodation requests in accordance with our Travel Policy.
- Proven experience in facilities management, office administration, or related roles.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Familiarity with travel coordination and vendor management.
- Creative mindset for designing and implementing employee engagement initiatives.
- Proficiency in the use of Microsoft applications such as Word, Excel, and PowerPoint.
- Strong proficiency in both written and verbal English and French communication essential for effective correspondence with clients, suppliers, business partners, and colleagues.
