Position Description

The Executive Assistant will provide high‑level administrative and personal support to the Lead Pastors.

Over‑Arching Expectations

- Manage the Lead Pastor’s calendars, including scheduling meetings, appointments, and travel.

- Act as a gatekeeper, filtering communications, prioritizing urgent requests, and managing correspondence.

- Prepare and organize materials for meetings, including agendas, briefing documents, and reports.

- Draft and proofread emails, presentations, and internal communications.

- Coordinate follow‑up on action items from meetings.

- Attend meetings to take detailed minutes, track follow‑up tasks, and ensure execution of key decisions.

- Assist with key projects, including research, data analysis, and preparing reports for presentations.

- Coordinate with cross‑functional teams to facilitate the smooth execution of high‑priority initiatives and ministries.

- Arrange travel plans, including flights, accommodations, and transportation.

- Handle last‑minute changes, resolving issues with logistics or scheduling as needed.

- Plan and organize meetings, including venue selection, catering, technology setup, and materials distribution.

- Assist with coordinating events, personal scheduling, errands, and appointments as requested by the Pastors.

- Maintain professionalism in all interactions by handling sensitive information with utmost confidentiality.

Qualifications

- Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.

- Excellent organizational and time-management skills with the ability to prioritize tasks.

- Strong proficiency in Google Suite, and MS Office Suite (Word, Excel, PowerPoint, Outlook), and with virtual communication tools (e.g., Zoom, Teams).

- Exceptional written and verbal communication skills.

- Discretion and integrity in managing confidential information.

- Ability to adapt to changing priorities in a fast‑paced environment.

- Church Ministry experience is an asset.

Reporting Relationships

The Executive Assistant will report directly to the Lead Pastors.
