POSITION: Executive Assistant & Office Manager

LOCATION: Brampton, ON (on-site position)

An established and rapidly growing organization is seeking an experienced Executive Assistant to provide high-level support to the President and support the office environment for this 100 person company.

This is a fully onsite position that is the perfect fit for someone who thrives in a fast-paced and dynamic environment, who excels at wearing multiple hats, and is a self-proclaimed "foodie" who has a passion for food & travel.

You will have direct exposure to executive leadership and the opportunity to get involved in projects that shape the future of the business

Responsibilities:

  • Serve as a trusted gatekeeper, handling confidential information with discretion.
  • Manage and coordinate the President's calendar, including scheduling, prioritizing meetings, and anticipating conflicts.
  • Coordinate domestic and international travel, preparing detailed itineraries.
  • Support the President and Executive Team with action item tracking, follow-up, and administrative needs.
  • Oversee day-to-day office and facilities management, including vendor relationships, supplies, and coordination of construction/renovation projects.
  • Plan and execute internal and external meetings and events (leadership offsites, client visits, town halls, advisory board meetings, etc.).
  • Record meeting minutes, track action items, and ensure timely completion.
  • Prepare executive-level communications, reports, memos, and presentations.
  • Adjust workflows and priorities based on evolving business needs.
  • Identify and implement process improvements, leveraging technology where possible.
  • Support compliance with internal policies, safety programs, and operational standards.

Requirements:

  • 5+ years of experience in executive support, office administration, or a similar role.
  • Passion for food and travel and knack for finding 'trendy hot spots' for restaurant and hotel bookings.
  • Post-secondary education in Business Administration (or related field) is an asset.
  • Highly tech-savvy with the ability to learn new systems quickly.
  • Exceptional organization, attention to detail, and follow-through.
  • Strong communication and interpersonal skills with a professional, friendly approach.
  • Demonstrated accountability, ownership, and ability to meet deadlines.
  • Able to work under pressure and adapt to changing priorities.
  • Self-driven, positive, and eager to learn.
  • Willing to work a flexible schedule when required.
