La personne retenue offrira un soutien direct et attentif ainsi qu’une aide administrative à la vice-présidente, Alberta et Territoires du Nord-Ouest, et aux fonctions connexes de l’équipe de direction. Elle assurera également la direction et la surveillance des principales fonctions administratives au sein de la région.

**Tâches et responsabilités**:

- Gérer de façon efficace et approfondie les horaires de la vice-présidente, y compris la planification de réunions internes et externes, la résolution des conflits d’horaire et la préparation des documents de réunion.
- Assister aux réunions avec la vice-présidente, au besoin, rédiger les procès-verbaux, préparer les notes finales, les mesures à prendre et les comptes rendus des décisions en temps opportun.
- Superviser directement la gestion de certaines fonctions administratives au sein de la zone géographique, y compris la supervision du personnel administratif connexe, notamment le personnel rémunéré, les stagiaires et les bénévoles occupant des postes administratifs.
- Offrir une aide administrative à la demande de la direction pour appuyer les programmes, les initiatives, les projets et les activités de perfectionnement, y compris la préparation de rapports, la gestion des dossiers, la correspondance, les appels téléphoniques et la coordination des projets administratifs.
- Veiller à ce que les systèmes opérationnels nouveaux et existants soient mis en œuvre et exécutés de manière exhaustive, fiable et efficace. Il peut s’agir notamment des systèmes de courrier, du logiciel PaperCut, du traitement et du rapprochement des dons et de la petite caisse, des systèmes de téléphonie et de communication, et des tâches liées aux installations et aux parcs automobiles.
- S’occuper du soutien administratif au comité de santé et de sécurité au travail (SST) en déposant les inspections trimestrielles des lieux, en vérifiant que les équipes suivent les formations requises, en veillant à ce que les babillards de SST des sites soient à jour, en assistant aux réunions pour la prise de procès-verbaux et en prenant d’autres mesures de soutien connexes, au besoin.
- Mettre au point et gérer un site SharePoint en soutien aux opérations dans la zone géographique. Faire en sorte que de l’information fiable et à jour soit communiquée en tout temps.
- Coordonner toutes les exigences en matière de logistique, d’intégration et d’orientation des nouveaux membres de l’équipe de direction et du personnel d’administration et de soutien des opérations avec la ou le responsable des embauches.
- Élaborer et mettre en œuvre des projets spéciaux, par exemple la tenue de réunions, l’élaboration de plans opérationnels, l’accueil de délégations et l’organisation d’événements, selon les besoins. Il s’agit notamment de mettre au point des plans de projet détaillés, de participer au regroupement des ressources, de mesurer et d’évaluer le rendement, de consulter les parties prenantes internes et externes et d’entretenir de bonnes relations avec celles-ci.

**Profil recherché**:

- Posséder au minimum un diplôme d’études collégiales en administration ou dans un domaine connexe et au moins quatre ans d’expérience dans un rôle administratif principal est obligatoire. Une combinaison équivalente d’études et d’expérience sera également envisagée.
- Posséder de l’expérience de la gestion ou de la coordination d’un environnement de bureau et de l’expérience de la prestation de soutien à la vice-présidence ou à un poste équivalent constitue un atout.
