**POSITION OVERVIEW**
**KEY RESPONSIBILITIES**
1. Financial Management
- Utilize QuickBooks software to accurately record and manage financial transactions, including accounts payable and receivable, invoicing, and expense tracking.
- Reconcile financial discrepancies and generate financial reports as needed.
- Collaborate with the finance team to ensure accurate and up-to-date financial records.
2. Sales Follow-ups:
- Assist the sales team by tracking and organizing leads, prospects, and customer interactions.
- Conduct proactive follow-ups with potential clients to gather feedback, answer queries, and provide additional information.
- Support the sales process by preparing sales materials, proposals, and presentations.
3. Administrative Support:
- Maintain organized and accurate filing systems, both digital and physical.
- Assist with scheduling appointments, meetings, and travel arrangements.
4. Communication:
- Communicate effectively with team members, clients, and vendors to ensure smooth operations and customer satisfaction.
- Collaborate with cross-functional teams to facilitate information flow and streamline processes.
5. Data Entry and Analysis:
- Enter and update data accurately in various systems and databases.
- Assist in analyzing sales and financial data to identify trends and provide insights to management.
6. Office Organization:
- Maintain a clean and organized workspace, ensuring office supplies are well-stocked.
- Assist with the preparation of documents and presentations for meetings and events.
**QUALIFICATIONS**
- Bachelor’s degree or equivalent.
- Proven experience as an administrative assistant or similar role.
- Knowledge in QuickBooks and a strong understanding of financial management processes.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and organizational abilities.
- Ability to multitask and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of sales processes and customer relationship management (CRM) software is a plus.
- Strong interpersonal skills and a customer-focused mindset.
