Here at Dock Systems Inc we are seeking a highly independent, committed and reliable Administrative Assistant to join our team to work in the Service and Purchasing Department

The Administrative Assistant is responsible for providing general administrative and clerical support for Dock Systems Inc., as well as specialized support in one or more of the areas in the Duties and Responsibilities outlined below. Responsibilities in these specific areas will be assigned at the discretion of the President and may be changed from time to time.

**Administrative Assistant / Service and Purchasing**

Assist Service and Purchasing departments with general admin functions including:

- Processes orders received from sales
- Issues purchase orders for all goods ordered and enters data into Quickbooks, ensuring that all PO’s reference a customer job number, or are specified as inventory
- Sends copies of Quickbooks PO to Scheduling/Dispatch and Warehouse
- Notifies Sales that parts are ordered and confirms delivery/installation details
- Monitors order status and advises Sales and Scheduling/Dispatch of anticipated delays
- Follows up with suppliers to resolve outstanding order issues
- Negotiates price and product availability with vendors
- Participates in the analysis of vendor accounts to assess reliability, profitability and quality of goods purchased
- Identifies and develops new supply sources
- Liaises with Accounting to coordinate customer billing process
- Maintains source library information (product listings, catalogues, pricing adjustments)
- Maintains file information on vendors and purchase orders
- Assist with entering service and installation orders
- Assist with scheduling of technicians
- Maintain planned maintenance contracts
- Phone support for Service and Purchasing departments

**What we are looking for**:

- A driven individual who is excited to learn and grow in their role
- Previous experience as an Administrative Assistant or Receptionist is desired
- A strong communicator - both written and verbal
- Strong proficiency using technology and programs such as MS Office / MS Teams
- Experience with QuickBooks is not required but would be an asset
