**What You’ll Do**

**_ Bring Events to Life_**
- Take guidance and leadership from the Executive Assistant to execute event objectives.
- Managing detailed timelines, schedules, and run-of-show documents to ensure that all elements of the event run seamlessly.
- Research and liaise with vendors, venues, and suppliers to align with event goals.
- Pack, ship, and track event materials to and from venues, and organize inventory once back at the office.
- Anticipate event needs, proactively resolving potential challenges before they arise.
- Oversee event setup and takedown, handling logistics, materials, and décor with precision.
- Be hands-on during events, coordinating check-ins, troubleshooting, and ensuring a positive experience for all attendees.

- Research and procure awesome company swag that makes people say, “_I want that_”
- Manage supplies, organize workspaces, and keep things looking sharp.
- Decorate, plan, and create seasonal experiences that make the office festive & fun for the team.
- Handle incoming and outgoing mail, packages, and courier deliveries with precision
- Be the go-to hero as our fire warden or first aid coordinator i.e. safety champion

**_What You’ll Need & What We’re Looking For_**
- Prior experience in event planning is a must—you’ll need to hit the ground running with a strong understanding of what it takes to pull off flawless events.
- A driver’s license and your own vehicle to zip around Vancouver for events and errands.
- Flexibility to work events, including evenings and weekends (about 10 x year).
- The ability to lift and move event materials (up to 25 lbs)—because sometimes making magic happen means loading in boxes of magazines, setting up signage, and rolling up your sleeves to bring events to life
- Top-notch attention to detail & organizational skills to keep all the moving pieces in place and make event planning look effortless.
- Excellent time management to balance deadlines, priorities, and last-minute surprises like a pro.
- Strong communication skills (both written and verbal)
- The ability to multitask—events don’t plan themselves, and neither does the office
- Flexibility and adaptability because plans change, and you’re always ready to pivot with a smile.
- Basic budgeting know-how to make the most of every dollar without cutting corners.
- Tech-savvy chops—Excel spreadsheets and event software? You’re all over it.
- The ability to stay cool under pressure—event days can be busy, but you handle it like a swan.
- Team spirit to collaborate with leadership and colleagues while confidently taking the reins when needed.
