Office Admin Manager

**Job Duties**:
**Payroll**
- Ensure timely management approval of timecards
- Prepare payroll reports
- Manage employee advances and deductions
- Run biweekly payroll using Ceridian payroll platform
- Ensure all labour is allocated to the correct job
- Report to Controller
**Accounts Payable**
- Collect and filter supplier invoices for data entry clerk and resolve clerk’s questions
- Prepare and send supplier remittances
- Prepare employee expense reimbursements and per diems for payment
- Enter all visa purchases in Knowify and/or QuickBooks
- Ensure accuracy of payables
- Ensure all bills/purchases are allocated to the correct job
- Report to Controller
**Accounts Receivable**
- Deposit cheques and make relevant entries in QuickBooks
- Assist with monthly customer collections
**Human Resources**
- Lead onboarding/termination processes
- Maintain employee files, record, and update certifications
- Report Apprentice hours quarterly; liase with ITA (Industry Training Authority)
- Liaise with benefits provider and respond to employee benefits inquiries
- Maintain human resources records
- Assist Management with other ad hoc HR duties
- Report to Owners
**General Accounting and Administration**
- Data entry as required
- Administrative duties as required
- Bookkeeping as required; training will be provided
- Assist Controller with other ad hoc accounting duties
- Report to Management

**Required Education and Skills**:
- Post secondary education in Business Administration, Accounting, or another related field preferred
- Minimum 3 years of bookkeeping experience preferred
- Some Human Resources experience preferred
- Experience processing payroll preferred; training will be provided if necessary
- Proficiency in English, Microsoft Word, and QuickBooks (or similar accounting software)
- Basic Microsoft Excel skills
- High degree of accuracy and attention to detail
- Excellent and positive communication skills
- Ability to work both independently and as part of a team
- Ability to adapt and thrive in an environment with multiple workflows
- Experience in construction industry a plus
- Experience with Knowify or other project management software a plus
