Office Administrative Assistant - Secretary Treasurer's Office

**Location**: VSB Education Centre

**Department**: Secretary Treasurer's Office

**Position Type**: Permanent

**Hours of Work**: 7 hours per day

**Salary**: $33.01/hour + extensive benefits & Municipal Pension

**In this position, you will**:
Provides administrative support for Trustees, including but not limited to responding to invitations, maintaining Board correspondence and preparing the weekly Trustee Memo

Supports the budget process by preparing documents and packages, of a confidential nature, or with tight time constraints

Organizes meetings and meeting resources, and takes meeting notes or records minutes and follows up on action items

Conducts basic research and prepares statistical/financial reports, charts, diagrams and spreadsheets, as required

Coordinates the administrative areas of projects, assists with analysis, and maintains and reconciles records, financial information

Maintains the content in the district-wide policy section of the website

Builds and maintains effective office systems, including a central filing and central 'brought forward' file for the department for deadlines, compliance with legislation and submissions to external entities, and follows up with reminders

Liaise with the public, staff and officials, explains and enforces divisional or district procedures in the Secretary Treasurer's Office area

Composes, edits, formats and proofreads written materials for Board and external correspondence

Perform other work within the job band as assigned

**Qualifications**:
Completion of Grade 12 plus formal training in Business Studies/Office Admin and a minimum of four (4) years of office experience or an equivalent combination of education and experience.

Previous experience using Peoplesoft HCM is preferred

Exceptional customer service, interpersonal and communication skills

Ability to exercise discretion and maintain confidentiality

Excellent organizational skills and ability to employ a solid system of reminders for tasks and deadlines

Ability to schedule, reschedule and sort through conflicting tasks and timelines when schedules change

Ability to work independently as well as in a team environment

Must be a self-starter, possess a willingness to learn and seek out answers from multiple sources across the district

Willing to work evenings, as required

**Must be able to meet the following assessments**: current Word and Excel (average = +75%), composing correspondence and applicable Accounting assessment.
