The proposal coordinator position within EBC’s proposal team is responsible for the coordination, development, organization, review, and finalization of compelling proposals and related work winning documents.

As a proposal coordinator, you are responsible for the development and submission of pre-qualification and proposal responses and related documents and presentations. This includes 1) Development of compliant, accurate, and compelling response narratives and graphics; and 2) Coordination and administration of proposal documents, schedules, kick-offs, reviews, document control, electronic and print submittals, and response data. You are also responsible for leading and/or supporting continuous improvement initiatives such as boilerplate and resume development.

You will be the lead and local Ontario based Proposal Support position, that works and coordinates with senior members of both the EBC national and local teams to provide support and consistency to our brand, image, submission documents and approach.
- RESPONSIBILITIES
- Read and analyze tender documents;
- Coordinate the planning and development of proposals and pursuits from start to finish;
- Review requests (RFP, RFQ, RFI) and play a key a role in determining document requirements;
- Perform various follow-ups (signatures/doc. admin., etc.);
- Collaborate with business line management, business development, operations, and executive team to develop golden threads and win strategies, incorporating throughout proposal deliverables;
- Conduct research to produce accurate and comprehensive proposal responses and messaging;
- Correct, edit, and reformulate text with precision to deliver high-quality professional proposals;
- Create and manage pursuit responsibility matrices defining roles, deadlines, and assignments;
- Initiate and lead proposal meetings, including kickoffs, status updates and reviews;
- Write/revise/improve the presentation texts of the various documents (CV, project sheets, etc.) for specific needs
- Follow-up/Check in on submissions and ensure debriefing is scheduled and attended;
- Ensure the accuracy and compliance of documents and ensure the transmission/submission of the proposal on time;
- Finalize and submit proposal documents as appropriate;
- Create compelling post-bid presentation materials;
- Develop and maintain best practices and templates.

Have at least 3 years of relevant experience in the construction industry; Have strong management, communication, negotiation and problem-solving skills; Advanced knowledge and skills in Microsoft Office Suite and Adobe Acrobat; Develop the ability to tell stories: stories about clients, projects, people, and EBC, and incorporate these stories into written narratives and supporting graphics within proposals that address the unique needs of each client; Skilled at collaborating with and interviewing executives, engineers, construction managers, legal, designers, and others to secure information for various writing assignments; Ability to work with tight deadlines in a constantly changing environment; Solid research skills and ability to dive into the details to extract key information; Exceptional attention to detail, organization and active listening skills; Ability to manage multiple projects to consistently meet high standards and be attentive to quality.
