Executive Assistant to CEO

**Key Responsibilities**:
- Manage operations across multiple companies, ensuring effective coordination and workflow.
- Provide administrative and operational support, including calendar management, prioritizing meetings, and keeping the CEO informed of important deadlines.
- Handle bookkeeping tasks, including tracking expenses, managing invoices, and reconciling accounts for each business.
- Serve as the primary point of contact between the CEO and staff, clients, and external partners.
- Maintain client databases, prepare reports, and oversee filing systems (both digital and physical).
- Coordinate tasks related to real estate transactions, including preparing documents, managing listings on MLS, and assisting with property showings.
- Prepare marketing materials, handle social media posts, and manage promotional activities, including on platforms like Facebook Business.
- Utilize tools such as HubSpot, Canva, Gmail, ChatGPT, Google Chat, Zoom Phone, Google Sheets, and Google Docs for daily tasks and business operations.
- Assist with appointment setting, organizing travel arrangements, and managing various day-to-day tasks like driving to locations or handling pickups and drop-offs.
- Monitor and track important communications to ensure that pressing matters are addressed promptly.
**Qualifications**:
- Experience in real estate, tech, digital marketing, or a similar operational role is preferred.
- Strong bookkeeping skills, including experience with managing finances and reconciling accounts.
- Excellent organizational, multitasking, and time management skills.
- Ability to work independently and take initiative in solving problems.
- Proficiency with MS Office (Word, Excel), Gmail, Google Calendar, and CRMs.
- Knowledge of tools like HubSpot, Canva, Google Sheets, Google Docs, and Zoom Phone.
- Attention to detail and strong communication skills.
- Valid driver’s license and reliable transportation for on-site tasks.
