Purchasing Administrator

The Purchasing Administrator is responsible for providing support to the Senior Manager, Purchasing Department with specific duties, responsibilities, and projects.
This position will start as a 6-month contract and requires in-office attendence a mininum of three (3) days a week. Our Head Office is located at 77 Bloor Street West in Toronto, Ontario.
RESPONSIBILITIES
- Maintain database for Building systems, services, and contractors under the responsibility of the department, e.g., elevator, mechanical, waste, pest control, etc.
- Maintain an up-to-date copy of inspection reports, i.e., fire alarm, fire hydrant, underground CO detectors, generator, roof anchoring system, backflow testing, fire violations, TSSA/AEDARSA directives, and elevator licences
- Assist in the tendering process by compiling information and submitting documentation in the official format for analysis and decision
- Prepare preventative maintenance contracts
- Follow up on deficiencies noted in Inspection Reports, i.e., TSSA Directives and Fire Marshall’s Inspection Reports and ensure compliance
- Assist in the organization and coordination of the spring cleaning project and backflow prevention testing
- Process Capital Project Summary (CPS) and prepare purchase orders (PO)
- Maintain an up-to-date copy of WCB/WSIB/CNESST clearances and certificates of insurance of contractors/service providers under the responsibility of the department, e.g., elevator, mechanical, fire protection, roof anchor, pest control, waste.
- Assist in providing support on internal and external service issues and queries where necessary
- Other special projects as assigned
REQUIRED SKILLS & EXPERIENCE
- Excellent organizational skills
- Advanced software skills especially in Microsoft Excel, Word and Outlook
- Experience with cost analysis
- Ability to navigate the internet and perform research
- Minimum of three (3) years of related experience
- Property management or construction or engineering industry experience preferred
- Able to manage multiple priorities within urgent timelines
- Excellent communication and interpersonal skills
- Ability to work independently to complete required responsibilities
- Attention to detail is critical
- Exposure to Yardi is an asset
- Ability to speak Filipino is an asset
