**Job Overview**
The Installations Project Coordinator enables the effective installation, resource planning and scheduling of the field installation and commissioning services of Conviron equipment, in accordance with the requirements of each individual project. Consistent with Conviron’s Installations Mandate, the job of the Project Coordinator is not done until our clients are growing confidently. The Project Coordinator delivers on Coviron’s commitments by assisting in coordinating and supporting the installation and commissioning of controlled environment equipment on-specification, on-time and on-budget.
**REPORTING TO: Vice President, Aftermarket**
**RESPONSIBILITIES AND DUTIES**
Coordinates installation activities & tasks for North America, Europe, and Australia projects including:
- Planning, scheduling, and monitoring project progress against established milestones, to ensure it is completed within scope, budget and timeline.
- Coordinating with clients on site readiness.
- Preparing Installs Requests For Quotation (RFQ’s);
- Evaluating install quotations against scope and budget, negotiating with subcontractors, and issuing and receiving installations purchase orders.
- Processing Installs weekly timesheets, monthly VISA expense reports, per diem (LOA) and Contractor Invoices;
- Coordinating rental equipment deliveries and pickups from client sites;
- Coordinating travel arrangements (flights, accommodations, etc.) and preparing Travel Letters and project documentation;
- Liaising with purchasing, production, installers, and clients on equipment delivery dates.
- Communicating with Field Installers, Installation Contractors, Logistics and Clients to assist in the coordination of product deliveries to client sites;
- Documentation of quality issues and non-conformances (NC’s) and ensuring cost of poor quality is captured accurately.
- Coordinating with accounts payable on invoice payments.
- Liaising with engineering and sales as necessary.
- Liaising with Finance on cost accruals and project finances.
- Flexible to work outside standard hours to accommodate different time zones and to cover emergency situations on site.
- Demonstrates personal conduct consistent with Conviron’s Code of Conduct at all times, including working with colleagues, subcontractors and our clients.
- Manages situations as they arise. Deals with unforeseen circumstances, proactively initiates actions to ensure that important issues are dealt with before they become critical.
- Maintain accurate and up-to-date records in departmental and network databases.
- Other duties as assigned.
**REQUIRED SKILLS AND ABILITIES**
- Experience with general administrative work. This may include timesheets, planning (flights, accommodations, travel letters), Requests For Quotes, Installation PO’s and invoices.
- Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
- Understanding of financial statements and general procurement processes.
- Excellent communication, organizational, time management, and project management skills.
- Demonstrated ability to be effective while working independently and within a team environment.
- Previous project management experience is considered an asset.
- Technical background considered an asset.
- Must comply with worksite health and safety guidelines.
- Must be legally eligible to work in Canada.
