We are seeking a highly organized and detail-oriented _**RFP & Tender Administrator **_to manage the preparation, organization, and submission of Requests for Proposals (RFPs) and tenders. This role is critical in ensuring that all proposals are submitted on time and in full compliance with the specifications and requirements of each opportunity.

**Key Responsibilities**:

- **Prepare and Organize RFPs & Tenders**: Analyze and interpret tender documents, ensuring all requirements and criteria are clearly understood. Develop a comprehensive plan for the timely and accurate submission of proposals.
- **Document Coordination**: Gather, compile, and format all necessary documents and information from relevant departments, including technical specifications, company information, and financial details.
- **Compliance Check**: Review all RFP and tender submissions to ensure compliance with submission guidelines, formatting requirements, and legal standards.
- **Submission Management**: Manage and execute the submission process through various online platforms, ensuring all required materials are uploaded correctly and on time.
- **Deadline Monitoring**: Track deadlines and prioritize tasks to ensure timely completion of each stage of the RFP and tender process.
- **Liaison & Communication**: Act as a liaison between internal teams and external clients or tendering authorities, maintaining open communication and promptly addressing any questions or concerns.
- **Process Improvement**: Identify and implement process improvements to streamline RFP and tender submissions, including maintaining a library of templates and frequently used documents.
- **Follow-up & Reporting**: Monitor the status of submitted proposals, provide regular updates to stakeholders, and assist in post-submission follow-ups as needed.

**Qualifications**:

- Proven experience in preparing and managing RFP and tender submissions.
- Strong organizational and project management skills, with the ability to multitask and handle tight deadlines.
- Excellent attention to detail and a high level of accuracy.
- Familiarity with various online tender submission platforms.
- Effective communication and collaboration skills.
- Proficiency in Microsoft Office Suite and other relevant software.

**Education Requirements**:

- **Bachelor’s Degree** in Business Administration, Communications, Project Management, or a related field.
- Additional certifications or training in project management, procurement, or contract administration are a plus.

**Preferred Qualifications**:

- Experience in a related industry or sector.
- Knowledge of contract management and legal terms associated with RFPs and tenders.
- A proactive and resourceful approach to problem-solving.

**Job Types**: Full-time, Permanent

Pay: $40,000.00-$45,000.00 per year

Flexible language requirement:

- French not required

Schedule:

- 8 hour shift
- Monday to Friday
