Real Estate Administrative/Marketing Assistant position

Looking for a reliable, hard-working and detail-oriented Administrative Assistant who will undertake a broad set of administrative and clerical tasks. They will provide primary administrative and Marketing/ social media support to a Realtor, assisting in daily office needs and managing general administrative activities such as preparing monthly reports, updating social media, website and assisting with our property management portfolio to name a few of the tasks.

IMPORTANT:

- You should have excellent knowledge of social media marketing and very comfortable with Facebook, Twitter, Instagram and Google Business Page marketing.
- Excellent English Oral and written communication skills and be able to organize the work using tools, like MS Office, Canva, MailChimp will also be needed.
- You should be very comfortable using Canva to design marketing material.

*Previous real estate experience as a real estate assistant is highly looked at
- Passion for the real estate industry, wanting to get their real estate license and wanting to pursue a long-term real estate career is also an asset
*French speaking and written an asset

20-25 hours per week to be spread 4-5 hours+ a day Monday to Friday during business hours. There is the possibility to become a Buyer agent within the team should you wish to pursue a real estate career and be on a team that will help you with your real estate career.

Job responsibilities:

- Maintain our social media marketing on Facebook, Twitter, Instagram and Google business page. Daily posting of our listings on social media, motivational quotes, Instagram stories etc.
- Design feature sheets and marketing material using design tools such as Canva
- Update and maintain client records in the database (CRM, KW command).
- Sent client mailouts (postcards, yearly calendars, holiday cards etc.).
- Post listings for sale and rent on all online classified such as Kijiji, Zumper, Rentals.ca, Facebook Marketplace.
- Update client master list.
- Manage and update our website on a weekly basis. Update listings, blog content, report content. Make sure the site is working smoothly no dead links.
- Design feature sheets and marketing material using design tools such as Canva.
- Schedule and prepare showings to lead agent.
- Prepare and input sales documents with our office.
- Training and education on platforms and new tools that are needed to the assistant’s work.
- Prepare and update an assistant manual of tasks with the details.
- Daily use of the task manager platform (Asana).
- Active role on the property management side of the business. Update tenant/landlord lists, rent notices, service/maintenance request notices, use to the property management software etc.
- Input tax receipts in spreadsheet (Excel) on a quarterly basis.

Other administrative tasks are added on a need basis. We welcome suggestions of work that the admin would think he/she can undertake.

Asset qualifications:
Initially, to make yourself available to spend 4+ hours a day during business hours at the office and as the job becomes more familiar you can work a mix of office and remote working days. A minimum of 3 days at the office or sometimes more will be required.

Willing to work independently in a home office environment or remotely but at the same time be able to produce results.

Real Estate experience is highly preferred French is an asset

Other:

- This will be a contract work. You will be required to invoice your hours. Invoicing methods can be provided.
- You will work closely on a weekly basis with the Realtor and the work can vary from week to week Salary: $16-20/hr negotiated depending on your experience. opportunity to get bonus and commissions part of the perks. Contract Part-time hours: 20-25 per week
