**SCOPE**
Reporting to the Manager, Campus Wellness Administrative Services, with functional supervision from the Manager, ACSD, Director, Counselling & Psychological Services and Manager, Community Health Services, the incumbent provides a welcoming and caring environment for the University community by providing excellent front-line customer service and supporting the daily operations of Campus Wellness and Support Services units: Access Centre for Students with Disabilities (ACSD), Counseling and Psychological Services (CPS), Health Services and Mental Health Entry Point Unit.

**PRIMARY RESPONSIBILITIES**
- First point of contact for students, faculty and staff as it relates to accessing services. Ensure the correct format of documents for a smooth intake flow and respond to inquiries. Receive requests for resources such as laptops and other technologies.
- Communicate with students regarding their request for service package, self-booking process, and other mental health resources.
- Ascertain the purpose of the consultation or service request (or determine the student’s or patient’s need) and direct, schedule or cancel appointments for the units (as applicable)
- Create patient’s profile in medical scheduler and on virtual consultation platform and online system(s), upload or share documents as directed, and ensure that files are up to date.
- Prepare confidential medical dossiers for patient visits and ensure that files are complete with laboratory reports, test results, specialists’ medical reports, medical insurance forms for doctors’ billing and other pertinent medical forms.
- Collect exams from professors and return completed exams as per processes within ACSD, and secure storage of these exams. Provide scheduling information on special exams to students and faculty.
- Identify urgent and emergency situations and ensure that the appropriate professionals are immediately notified. Refer students in critical and urgent situations to external resources and notify the Director of CPS or their delegate.
- Sort and distribute incoming mail including test results, faxes and special delivery, and order and maintain inventory of office supplies.
- Book conference rooms and assist with ordering of equipment and refreshments.
- Provide general office and clerical support for business units including archiving of inactive files.

**QUALIFICATIONS**
- Diploma of Collegial Studies (two year pre-university DEC) and two to four years of related work experience in a medical setting.
- Good knowledge (Level 4) of spoken and written English in order to communicate effectively with students, faculty and staff. Basic knowledge (Level 3) of spoken and written French.
- Basic knowledge of Word, Excel, and PowerPoint.
- Keen attention to details.
- Excellent organizational, interpersonal and communication skills with the ability to deal sensitively with individuals.
- Ability to multitask and work under pressure with frequent interruptions.
- Aptitude to work in a service-oriented environment as both a member of a team and independently.
- Previous experience working in a high-volume service area.
- Approachability (is sensitive and patient with others) and composure (is a calming influence in a difficult situation) are required qualities.
- Working knowledge of the Student Information System is an asset.
- Knowledge of additional languages is an asset.
- Knowledge of medical terminology and first aid/emergency skills is an asset.
