**The opportunity**:
The Constituent Records area of the department of Private Funding currently maintains biographic data for over 300,506 records with annual growth of 15%.

Reporting to the Manager, Advancement Services, this position involves tracing lost constituents, verifying, updating, and correcting biographic information on the database: names, addresses, telephone numbers, education, employment, relationships, and various attributes.

Tracing and verifying information involve the use of the internet, directories, and making phone calls to graduates, relatives of graduates, businesses, professional organizations, and societies as required. Priorities of tracing are determined according to the priorities defined by Development and Advancement services. The incumbent is responsible to search and identify new sources of tracing constituents and share sources discovered; and use their own initiatives to determine appropriate sources for efficient tracing required. Constituent Records Assistant is responsible for updating biographic information from sources including Manitoba Address Change, and UM Web updates. Completes biographic updates from notification from Campus Call Centre and Grad Rollover processes.

**The qualifications and experience we’re looking for**:

- Completion of a formal training program in applied office skills from a recognized institution required.
- Minimum two (2) years directly related experience in a computerized office environment required.
- Data entry experience and familiarity working with large databases required.
- Must have experience using IMS transactions.
- Experience with Raiser's Edge software is preferred.
- Knowledge of the university would be an asset.
- An acceptable equivalent combination of education and experience may be considered.
- Must have excellent computer end keyboarding &lolls.
- Must have courteous telephone manner in dealing with the public.
- Must be proficient in MS Office, Microsoft Word, MS Teams, MS SharePoint, and Microsoft Excel.
- Must be proficient in internet browser.
- Must have some knowledge and experience with Microsoft Access.
- Must have excellent organizational skills.
- Must be meticulous and completely accurate in maintaining data.
- Must have the ability to work with and understand a large, computerized database.
- Must have the ability to investigate and find information using a variety of sources.
- Must have the ability to communicate effectively and make tactful decisions when dealing with the public.
- Must enjoy working in a team environment.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
- Ability to communicate effectively, use one's initiative and make some decisions.
- Being tactful with members of the public.
