Saskatoon, Canada Home Instead Full time

**As the Administrative Assistant you will**:

- Welcome each visitor and answer each incoming phone call in a friendly, professional manner
- Improve office efficiencies through use of software, technology and clerical office systems
- Assist Owners with ongoing organizational change
- Ensure Home Instead (HQ) standards and (Care Pro) policies are upheld
- Support Recruitment and Engagement Coordinator with all aspects of Care Pro recruitment, training and engagement
- Maintain accurate client and Care Pro records in operating system
- Monitor daily shift activity on operational software dashboard
- Communicate client and Care Pro concerns or problems with owner or admin team members
- Prepare/collect all print and client service materials related to new and ending clients
- Maintain professional contact with clients and client families through routine touchpoints
- Assist with billing, including client invoices and Care Pro payroll
- Assist in preparation and execution of Care Pro meetings
- Assist in maintaining office supplies
- Maintain light office cleaning duties
- Maintain regular attendance at the office to execute job responsibilities
- Demonstrate open and effective communication with Owners, Admin team and Care Pros
- Participate in the on-call schedule rotation
- Other duties as assigned

**Job Requirements**:

- Provides top notch customer service to internal and external customers
- Must have knowledge of the older adult care industry and have passion for the role of private care in increasing quality of life of older adults
- Thrives in a fast-paced environment and is an expert in multitasking
- Highly organized with special attention to detail
- Demonstrates common sense in decision making while anticipating the consequences of decisions.
- Discerns when there is a need for quick decisions or more thorough assessments
- Ability to work independently, maintain confidentiality of information and meet deadlines
- A driver's license, car insurance, and access to a vehicle are required for this position
- Must be able to work evenings or weekends as required
- Physical abilities to perform job duties
