The Tenant Coordinator is solutions-oriented and possesses excellent communication skills to build and maintain strong tenant and vendor relations and to support the delivery of Landlord and Tenant projects.

**Key Responsibilities include**:

- Act as a liaison with project team members regarding identifying and creating the scopes of work, design criteria, budgets, schedules, and phasing;
- Assist Leasing, Property Management and Asset Management teams to negotiate ideal scope of work for tenant build-out and renovations;
- Manage all related services on assigned projects. This may include but is not limited to developing work schedules, scopes of work, contract administration, coordinating cost estimates, managing project specific control tools (for budget, schedule, etc.);
- Manage and execute the Landlord’s work and/or Tenant work, in collaboration with relevant stakeholders (tenant, consultants, architects, designers, and contractors) to ensure implementation of tenant projects. This includes ensuring that there is adherence to established budgets, schedules, and work scopes;
- Partner with tenant, tenant architects, designers, consultants, engineers and contractors during entire process, which includes supporting with educating on procedures and responsibilities involved;
- Review tenant plans and expedite the construction process of each leasing deal, from inception to tenant move-in;
- Coordinate and follow-up with design consultants to ensure consistency design criteria, and to ensure proper use of approved finishes and coordination with the Landlord and Tenant work schedule;
- Evaluate tenant changes that impact lease plans and budget and ensure Landlord’s construction costs and forecasts correlates with budgets;
- Monitor and expedite all required approvals and inspections from local authorities having jurisdiction (i.e. building / tenant fit-out permits, sprinkler permits, electrical and mechanical permits etc.);
- Identify risks to the schedule and/or budget and provide guidance and management of solutions;
- Manage construction close-out process and obtain all required documents such as built plans and operating manuals;
- Manage the handover of project to the Property Management team responsible for operation of property;
- Organize or participate in Tenant and Construction site meetings as required and prepare the minutes of the meetings;
- In conjunction with Property Management, Asset Management, Construction and Technical Services create, review and update the Design & Construction Criteria Manuals and Leasing plans for existing properties from time to time.

**Job Qualifications**:

- Post-secondary degree or diploma in Construction Management or Project Management equivalent;
- Minimum of 3 years of relevant experience in Tenant Coordination and/or Construction Management, and experience in retail would be considered a strong asset;
- Strong technical skills with proven experience/proficiency utilizing MS Office, with advanced knowledge with Excel (pivot tables, Gantt charts, etc.), SharePoint, Adobe Acrobat, and AutoCAD;
- Excellent communication, collaboration, and interpersonal skills to liaison with various departments and parties (tenants, designers, site staff);
- Solid project management skills, along with exceptional organizational skills in order to meet deadlines and work effectively in a dynamic and fast-paced environment;
- Possess the knowledge on reading, understanding and reviewing design consultant drawings;
- General knowledge of building systems, construction practices and related code/legislative requirements is an asset.
