15 Wing, headquartered in Moose Jaw, is the centre of RCAF aircrew training and is comprised of 2 Canadian Forces Flying Training School (CFFTS) and 431 Air Demonstration Squadron (CF Snowbirds) both located in Moose Jaw, SK. The Wing is the principal site of the NATO Flying Training in Canada (NFTC). 15 Wing is responsible for three different aircraft platforms that include: CT-156 Harvard II, CT-155 Hawk, CT-114 Tutor, and any visiting aircraft.

You will be part of a team that works closely with the military customer and other Serco teams to deliver quality and efficient Air Traffic Management System maintenance, Aeronautical information services and VFR air traffic services to DND's NFTC program. Serco Canada Inc. is looking for an administrative assitant in Moose Jaw, Saskatchewan.

**Primary Duties and Responsibilities**:

- Administer and issue licenses, permits, registration papers, reimbursements, or other material after requesting documents have been processed and approved.
- Maintain inventory of office supplies and order stationary supplies as required.
- Prepare reports and presentations and provide information to staff regarding company and program rules, regulations and procedures.
- Record official minutes of meetings with the client and internal meetings.
- Distribute/assign admin work, as required, to admin team or relevant sections for completion.
- Respond to telephone, in person or electronic enquiries or forward to appropriate person.
- Photocopy and collate documents for distribution, mailing and filing.
- Maintain and prepare reports from manual or electronic files, inventories, mailing lists and databases.
- Process incoming and outgoing mail, manually or electronically.
- Send and receive messages and documents using fax machine or electronic mail.
- Perform bookkeeping tasks such as preparing invoices and bank deposits.
- Order office supplies, service office equipment and arrange for servicing in the case of major repairs.
- Calculate, prepare and issue documents related to accounts such as bills, invoices, inventory reports, account statements and other financial statements using computerized and manual systems.
- Code, total, batch, enter, verify and reconcile transactions such as accounts payable and receivable, payroll, purchase orders, cheques, invoices, cheque requisitions, and bank statements in a ledger or computer system.
- Prepare PST submissions for self-assessment of PST collections.
- Prepare period or cost statements or reports.
- Calculate costs of materials, overhead and other expenses based on estimates, quotations, and price lists.
- Respond to customer inquiries, maintain good customer relations and solve problems.
- Perform related clerical duties, such as word processing, maintaining filing and record systems, faxing and photocopying.
- Process, verify and register documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations and classifications.
- Maintain and update manual filing and registration systems, and compile and prepare reports and documents relating to personnel activities.
- Respond to telephone and written enquiries from staff, stakeholders and the general public regarding personnel matters.
- Arrange for advertising or posting of job vacancies, assist in screening and rating of job applicants, and conduct reference checks.
- Administer and score employment tests, such as keyboarding and proofreading tests.
- Arrange for in-house and external training activities for all Serco staff in consultation with section managers and supervisors.
- Assist supervisors with records of employee attendance, leave and overtime to calculate pay and benefit entitlements, in Canadian and other currencies, using manual or computerized systems.
- Complete, verify and process forms and documentation for administration of benefits such as pension plans, leaves, share savings, employment and medical insurance.
- Provide information to employees on payroll matters, benefit plans.
- Compile statistical reports, statements, and summaries related to pay and benefits accounts.
- Guide staff with online system processes for timekeeping (DELTEK).
- Process Purchase Requests and obtain quotes, when required.
- Finalize Purchase Orders and coordinate Financial Manager approval.
