Duties and Responsibilities:
Position Management- Support the framework and best practices to enable accurate position management at the College;- Verify that positions are budgeted and have received appropriate approval;- Review and resolve position reports and staffing transactions to ensure data integrity, accuracy and compliance across the College;- Create full-time and other-than-full-time (OTFT) positions while ensuring appropriate approvals and corresponding documentation is provided;- Close positions containing inaccuracies or based on College requirements;- Assists in system integration of position management to detect errors, duplication and omission of data;- Investigate and respond to requests from Payroll, People Leaders and Budget Officers to correct, update, rescind, switch primary, cancel, and correct positions/requisitions/duplicate accounts/employment contracts, move workers while ensuring accuracy and compliance;- Manage the seasonal layoff process including validation of seasonal layoff period for Regular Part Time (RPT) and Full Time Support Staff employees, submit validated reports to the Union College Committee (UCC) create and issue letters to managers; gathering documentation, ensuring compliance and collaborating with the Total Compensation team;- Review and monitor reports related to employees being Out of the Bargaining Unit/our of their substantive role, ensuring compliance and flagging high risk files to the People Leader and colleague, Talent Acquisition and Workforce Planning. Send reports to Union partners when required;- Review and monitor reports relating to Regular Part Time employees; flagging high risk files to the People Leader and colleagues, Talent Acquisition and Workforce Planning;- Monitor Fixed Term Administrative positions, flagging positions for conversion to colleagues, Talent Acquisition and Workforce planning;- Make recommendations for updates to standard operating procedures (SOPs) with regards to position management when required;- Partner with HR Reporting, Workday Support, Finance, Total Compensation and other key stakeholders to streamline and automate position management processes and systems.

Employee Staffing Transactions in Workday- Manage probationary periods for all employee types through the Workday inbox;- Manage union memberships for Unionized employees, investigating files and requesting additional information as required, through Workday;- Follow up on critical Workday onboarding tasks including employment contracts;- Follow up on Work Permit information once flagged by the HR Client Services Representative.

Other Than Full Time (OTFT) Subject Matter Expert for the Academic Area- Provide position management and employment contract guidance and support to Managers and Budget Officers on other than full time faculty positions for the Academic area (excluding Partial Load).

Required Qualifications:
- 3 year Diploma/Degree in Business Administration, Human Resources or a related field;- Certified Human Resources Professional/Leader (CHRP/CHRL) is an asset;- Must have 3 years of work experience in an office setting, which includes some of the following:- Experience with position management, reporting, metrics and analytics;-
- Experience working in a large unionized organization, in a Human Resources department;-
- Advanced computer skills: Microsoft Office Suite, HRIS, Reporting Tools;-
- Compiling, formatting, analyzing, organizing and disseminating reports;-
- Must have expert level Excel, Power BI and HRIS experience/knowledge, intermediate Word, PowerPoint, Adobe;- Good organizational skills, ability to manage several priorities and meet multiple, tight deadlines;- The ability to manage projects and initiatives to completion;- The ability to work independently in a demanding, fast-paced environment;- Strict attention to detail and accuracy in analyzing and auditing transactions submitted by managers;-
- Demonstrates initiative in troubleshooting, problem-solving and taking corrective action to resolve
