Reporting to the Manager, Human Resources. Administrative Assistant provides administrative support for the HRA and Executive teams.
KEY ACCOUNTABILITIES
- Create and maintain filing system for department, including maintaining employee files
- Create requested payroll and month end reports
- Translate and communicate Korean documents into English
- Provide administrative services to the HRA and executive team
- Assist with department billings ensuring transactions meet with AP deadlines
- Assist with coordinating corporate employee events
- Responsible for all administrative paperwork related to MHQ or Executive team
- Prepare and distribute employee contact information
- Handle travel administration
- Assist with immigration documents for executive coordinators transferring from Korea
- Track attendance & vacation for all employees
- Partner with HR and DCS to ensure IT needs are met for new hires (desktop, laptop, phone, etc.)
- Maintain inventory of ink and toner cartridges and replenish as necessary
- Maintain and update organizational charts, and report to management as needed
- Responsible for supplies inventory, replenishing as needed
- Assist with recruiting related administration
- Prepare timesheets for temporary staff
- Handle mail/courier operations including sorting, packing, labeling, sending, etc.
- Act as back up support for security related matters
- Assist with scheduling meetings, booking meeting rooms, coordinating catering requests and act as liaison with other departments to coordinate smooth flow of processes
- Provide reception coverage as needed
- Other duties as assigned
REQUIRED COMPETENCIES
- Minimum 3 years' clerical experience
- Must be fluent in Korean and English
- Strong attention to detail and problem solving skills
- Must be team oriented and customer service focused
- Solid organization and time management skills
- Excellent communication skills
