We are a small but established Ottawa-based, family-owned commercial property-owner and manager looking for someone who thrives in a fast-paced, dynamic working environment. This key role is integral to our day-to-day operations. Working closely with the Asset Manager and the Office Manager / Book-keeper, the Commercial Property Administrator is responsible for the administrative side of managing 4 office and commercial buildings in downtown Ottawa and a retail mall in the city’s east-end along with day-to-day tenant relationships (¬25 total tenants). This is a full-time in-person salaried role, based out of our office in downtown Ottawa, with health and dental benefits included.

**Core Responsibilities**:

- **Budgeting - operating, capital, maintenance**
- In partnership with the Asset Manager and Ownership team, develop, maintain and update monthly and annual operating, maintenance and capital budgets and reserve requirements for each building
- **Leases**
- Maintain commercial lease templates and terms; prepare new and modified lease agreements for tenants in partnership with Asset Manager and Ownership team
- Review agent listing agreements to confirm validity and proper commission rates
- **Accounts payable**
- Review all invoices relating to building operations and confirm validity with Asset Manager before submitting payables
- Periodically review buildings expenses in detail for accuracy and validity
- **Accounts receivable**
- Maintain active rent roll
- Prepare weekly Arrears reports
- Enter rent increases into system for proper charges and collection
- Prepare year end reconciliations for each tenant, and as requested by tenants
- **Insurance policies**
- Periodic review of all insurance policies to ensure appropriate coverage and pricing
- **Tracking and reconciliations**
- Oversee all property tax appeals and determine whether to pursue or withdraw
- Periodic property tax reconciliations
- Periodic common area expense reconciliations
- **Other duties and responsibilities may arise from time-to-time, including but not limited to assisting Ownership with some personal account management and transactions (e.g. online travel bookings)**_

**The Successful Applicant (experience and skills)**:

- Proven experience in a similar role
- Demonstrated proficiency in QuickBooks and Microsoft Office 365
- Strong inter-personal and relationship management skills
- Dependable, trust-worthy, strong ethics
- Ability to prioritize, multi-task, manage multiple stakeholders and manage to deadlines
