**Office Coordinator and Administrative Assistant**

**Vancouver, BC**

UBC Investment Management is a wholly owned subsidiary of the University of British Columbia, providing professional investment management for the UBC Endowment Fund, Staff Pension Plan and other UBC-related funds. The funds are invested globally across all major public and private asset classes and in aggregate value exceed $5.5 billion.

This role will provide support to multiple areas in the company including supporting the President and CEO and other team members.

Responsibilities include but are not limited to:

- Coordinate and maintain internal and external meetings, calendars and project timelines for the team
- Assume responsibility of office administration tasks such as dealing with general office maintenance, IT issues, minute taking, mailing, meeting setup and website maintenance
- Act as point of contact and communicating with various external parties including vendors, stakeholders and investment managers
- Processing, organizing and maintaining files and documents including corporate records, legal documents and external reports
- Assist with benefits administration including new employee setup and expense processing and assisting with information requests
- Maintain relationship with service providers and assist with processing as well as reconciliation of corporate account payables
- Assist with logistics and travel arrangements for team members

**Qualifications**
- Minimum 2-3 years in a professional office as an administrative assistant. Experience in investment management/finance industry is an asset
- Superior time management skills and superior oral and written communication skills
- Superior problem solving and research skills
- Self-motivated and keen to learn or to improve business processes
- High degree of professionalism and discretion/confidentiality
- Advanced computer skills in MS Word, Outlook, Excel, Powerpoint, Adobe, Diligent and teleconferencing software
- Able to adapt to changing environment
