Job Title: Lead Receptionist
30-40hrs weekly
Reports To: Team Lead
Job Summary:
The role of the Lead Receptionist is to provide clarity and organization to the daily tasks of the reception team and provide exceptional customer service to our clients.
Your role is vital to the success of our hospital as you are the first and last contact the client has with us whether it is in person or on the phone. As a representative of our hospital, it is your primary job to ensure that the client and their pet feel welcomed, expertly cared for and appreciated. Other qualities that are essential include proven leadership skills, excellent communications skills, organization, great attention to detail, motivated and dedicated to fostering a collaborative, team-based approach to patient care. The Lead Receptionist will ideally have a minimum of 4-5 years’ experience working in veterinary medicine.
Duties and Responsibilities:
Supports the Team Lead to ensure all new staff members receive orientation and training.
Support the reception team to ensure clients receive compassionate and superior experience.
Motivate and inspire the reception team to provide exceptional customer service and compassion to clients of the hospital.
Assist the Team Lead in providing support and coaching/mentoring to all team members by being present on the floor for various shifts (days, evenings and weekends).
Create an inspiring team environment with an open communication culture amongst all team members.
Provide guidance and direction to the reception team, including setting standards and monitoring performance.
Make recommendations to the Team Lead as to ways in which the front desk can be enhanced to increase the customer experience.
Oversee auditing of medical notes for completeness of information.
Assist the Team Lead in preparing and delivering annual performance reviews.
Assist in conducting departmental meetings as deemed appropriate and necessary.
Ensure the cash out procedures are completed daily. This would include reconciling invoices and balancing the cash drawer and running end-of day computer reports as needed.
Complete the bank deposits and get change.
Perform a variety of clerical duties including but not limited to receiving, sorting, distributing and sending out mail.
Cleaning and organizing the reception area.
Writing correspondence, reports and other documents.
Make hiring recommendations to the Team Lead.
Assist in the maintenance of the reception team schedule that ensures an equal (fair) rotation for all full-time and part time team members while meeting the needs of the hospital.
Assists the Team Lead in coordinating vacation as well as sick coverage to ensure all shifts are
adequately staffed and work closely with the other Leads to ensure complete hospital
coverage.
Assists the Team Lead with administrative duties to consistently meet deadlines and
deliver results.
Recognizes limitations of the team or individual team members and seek out solutions to support the Team Lead to resolve situations proactively.
Attends Leadership meetings and contributes feedback.
Support decisions put forward by the Leadership team and ensures complete confidentially from all discussion at these meetings.
Brings forth any concerns to the Team Lead on behalf of the reception team.
