Colonial Tool Group, a premier provider of broaching tools and spindle services throughout North America, is seeking a General Office / Accounts Payable Clerk to join our dedicated team.
This position is responsible for reception and basic office management, entry and payment of accounts payable, banking and bank reconciliation.
**Principal Accountabilities - General Office**:
- Answer telephones and direct calls as appropriate
- Receive and distribute mail
- Maintain office supplies cabinet and stockroom
- Maintain the petty cash fund
- Record cash receipts and make bank deposits
- Arrange transportation and accommodations as necessary
**Principal Accountabilities - Accounts Payable**:
- Match supplier invoices to authorizing purchase orders and proofs of receipt
- Take all economical supplier discounts
- Obtain payment approvals for non-cost of goods sold invoices
- Process expense reports
- Process procurement card payments
- Record and allocate pre-authorized payments
- Issue stop payments and void checks
- Issue reminders to suppliers regarding uncashed checks
- Pay supplier invoices when due; process cheque runs, wire payments, and EFT payments
- Research supplier requests for payment
- Process debit memos as required
- Update the supplier master file
- Reconcile AP subledgers to general ledger, including received but not invoiced report
**Other Accountabilities**:
- Maintain accounting schedules as required
- Assist/back-up other admin staff as required
- Other duties as required by management
**Qualifications**:
- Diploma or degree in accounting or commerce
- 3-5 years of experience in an Accounts Payable role, or similar.
- General bookkeeping knowledge.
- A motivated, self-starter; able to work effectively independently and in a team environment.
- Exceptional organizational skills and attention to detail while meeting tight deadlines.
- Strong verbal and written communication skills.
- Proficient with MS Office
- Experience working with MRP system an asset
