Penticton and District Society for Community Living (PDSCL) is a non-profit organization dedicated to supporting people with diverse abilities in Penticton and surrounding communities. We provide support and services for people with intellectual disabilities, seniors, low-income adults, families and persons facing homelessness.

PDSCL is looking for an Executive Assistant who will work in conjunction with the CEO or designate and Human Resource Manager. The Executive Assistant will provide administrative support for the society's Operations.

**JOB RESPONSIBILITIES**
- ADMINISTRATIVE DUTIES_

1. Understand and promote the philosophy, mission, policies and procedures of PDSCL.

2. Assist in the process of CARF accreditation and formulation of internal policies and procedures in compliance with provincial and federal regulations and the collective agreement.

3. Assist the CEO or designate with preparing funding and grant proposals.

4. Provide direct support to the CEO or designate, Management and the Board of Directors with correspondence and communication often of a confidential nature.

5. Provides support to the Board of Directors by recording and typing minutes, correspondence, etc.

6. Collects, researches, and prepares confidential information for use at Board Meetings, including budget reports, service delivery, and more.

7. Attend Board, Management, Coordinator and other meetings as directed to collect minutes of meetings.

8. Arrange confidential meetings, schedule confidential appointments and make travel arrangements for Management and the Board.

9. Participate in the planning and implementation of administrative systems.

10. Perform administrative and clerical duties around filing and organizing confidential documents.

11. Promote community social participation and integration and create a team approach to service provision.

12. Perform other duties as required.
- HUMAN RESOURCE DUTIES_

1. Maintain an understanding of the collective agreement and how provisions apply.

2. Provide written and verbal information on collective agreement provisions.

3. Assist with employee recruitment, selection, scheduling, development and training.

4. Provides support and assistance in the maintenance of employee personnel files and update, maintain and review files as necessary.

5. Conduct reference checks for prospective employees.

6. Drafts confidential employment-related letters including letters of appointment for areas such as position change, hire letters, pay increase or schedule changes. Files discipline letters such as letters of expectation, written warnings, notices of suspension and termination.

7. Maintain attendance, evaluation, leave, benefits and overtime records.

8. Processes bi-weekly and quarterly reports for employee tracking and compliance regulations.

9. Plan and organize company events, including annual employee-related events such as Staff Appreciation and Years of Service

10. Promote and create a team approach to service provision.

11. Perform other duties as required.
- OTHER JOB-RELATED DUTIES:_

1. Maintain a level of professional conduct and positive relations with consumers, funding sources, government representatives, professionals and the community.

2. Support the Admin department with administrative and clerical assistance.

3. Respond to emergencies as required.

4. Perform other duties as assigned.

**REQUIREMENTS**
- EDUCATION:_

Completed a two-year college diploma in the field of administration and/or management. Appropriate computer literacy. Or an acceptable combination of education and experience may be considered.
- EXPERIENCE:_

One-year work experience with adults with a developmental disability and office/or human resource management.

**OTHER JOB REQUIREMENTS**

1. Completed criminal record check for working with Vulnerable Children & Adults.

2. Valid Class 5 Drivers License and an adequately insured vehicle.

4. Bondable.

5. Demonstrate the ability to communicate effectively, verbally and in writing.

6. Demonstrate competent word processing skills.

7. Ability to work cooperatively and efficiently with minimum supervision.

8. Ability to maintain confidentiality.

**Job Type**: Part-time

Pay: From $25.24 per hour

Expected hours: 30 per week
