Sales Coordinator

Rush Truck Centres of Canada is a part of the largest commercial vehicle dealership group, Rush Enterprises, in North America. We represent a wide range of industry-leading truck and trailer brands backed by parts, sales, service, collision repair, lease and rental support. With 15 locations in Ontario and almost 600 employees, we want the best and brightest dealership operations professionals to join our team.
The Sales Administrator is responsible for maintaining a digital deal jacket, tracking costs, and ensuring the accuracy of gross profit for each deal. This is a full-time 12-month contract covering maternity leave.
**Responsibilities**
- Deal processing (new vehicles)- Approve leads in CRM and maintain customer account setups.
- Create vehicle purchase orders (VIO) for approved vendors, create workflows for new vendors, and scan related quotes into the CRM.
- Verify that all sales documents are complete and review tax calculations before creating customer invoices.
- Review SPA’s to ensure concessions are recorded and received.
- Manage and maintain digital deal jackets, adding notes in the CRM when required.
- Manage NVIS cards and process DTU forms, scan to CRM.
- Prepare warranty registration for sold trailers and Kalmar products, and scan to CRM.
- Calculate salesperson's commissions and book the deals in both the CRM and SAP, reconciling the gross margin.
- Adjust gross profit and commissions based on the RTC Truck Profitability report which details VIO chargebacks.
- Assist corporate head office with truck deal audits.
- Purchase order management- Review accounts payable exception reporting and investigate variance daily.
- Review and reconcile all open purchase orders monthly.
- Process customer refunds for overpayments or to return down payments.
- Vehicle sales forecasting- Prepare monthly DTU forecast for International products for Navistar International; revise weekly.
- Prepare quarterly DTU forecast for all product lines for senior management.
- Renew dealership OMVIC (Ontario Motor Vehicle Industry Council) registrations.
- Follows company Health and Safety policies and procedures. Maintains a safe, clean work environment.
- Other duties as assigned. Some travel is required.
**Basic Qualifications**
- High School Diploma or equivalent. College or post-secondary education is preferred.
- Two years experience in a sales administration role for automotive service, repair, or related business.
- SAP and/or CRM Experience is an asset.
- Competency in the following areas: customer service, administrative skills, time management, attention to detail, proficiency with computers; Microsoft Word, Excel, Outlook.
- Detail-oriented with excellent verbal and written communication skills.
