**Job Summary**: We are seeking a highly organized and detail-oriented Administrative Assistant for the Faculty of Education’s Centre for Digital Innovation in Education (CDIE). This position will coordinate administrative processes to support: a) the Director (setting up and documenting team meetings, assisting with reporting activities); b) individual and team research and outreach projects (communicating with staff and faculty); c) external collaborations (including liaising with community partners).

**Nature of work**:
This position will work closely with, and report to, the Director of the CDIE. Most of the work will be done remotely; however, the position requires that the Administrative Assistant be available (with adequate advanced notice) to work at Charles Hall (61 Charles Street, Oshawa) when necessary (i.e. special events).

**Responsibilities/accountabilities**:

- Provide individual administrative support to the Director, and to the Executive Committee of CDIE (e.g. coordinating meetings, communicating with committee members; assisting with reporting; organizing and attending special events);
- Provide central support to CDIE team members (e.g. establish and update file systems; support staff in compiling and submitting expenses for bookkeeping and financial record keeping; assist in hiring processes, onboarding, and ongoing engagement of new research team members including community advisors and peer researchers; set up and take minutes for team meetings);
- Support external community collaborations (e.g. maintain core documents such as the research principles, partnership documents and agreements; set up and take minutes for collaborative meetings, support logistics for CDIE program events and initiatives);
- Collaborate with CDIE staff, and participate in team meetings and training.

**Required Skills**:

- 1-2 years of experience in administration, operations or similar tasks in a community-based organization or academic/research organization.
- 1-2 years of experience supporting team meetings and team processes.
- Intermediate knowledge of equity, social justice, decolonization, Indigenization, anti-oppression, and/or community-based research in community settings.
- Intermediate knowledge of diverse 2SLGBTQQIA+ community health issues and perspectives, including by way of lived experience.
- Excellent computer skills and proficiency in online collaborative platforms such as Google workspace as well as proven ability to learn and adapt to new software tools.
- Basic knowledge of research activities and processes (such as research ethics, data stewardship and management, and knowledge translation).
- Strong interpersonal, problem solving and planning skills (including capacity to prioritize tasks under tight deadlines).
- Strong communication skills, with the ability to summarize information appropriate to varying audiences.

**Required Education**:

- Bachelor’s degree or an equivalent combination of education and experience OR graduate degree (M.Ed.) preferred.
- Verification of Academic credentials may be required

**Required Experience**:

- Formal education in related fields (education, social sciences and humanities) is an asset.
- Knowledge of Indigenous research methodologies and experience working with Indigenous Two-Spirit communities.
- Awareness of 2SLGBTQQIA+ social, cultural, and political values and sensitivities.
- Experience using project management tools or approaches.
- Experience with tracking expenses, budgets or bookkeeping.
- Autonomous worker with an ability to adapt and work within a dynamic and complex team setting.
- Ability to interact professionally and effectively with partners and individuals from varying sectors including academic, government and community based-organizations.
- Excellent communication skills including writing and/or editing documents.
- Capacity to prioritize tasks and function under tight and/or competing deadlines.
