**What can I expect to do in this role?**

Under the direction of the Manager (Compensation Services) the Administrative Assistant provides administrative and clerical support to the Compensation Section.

Major responsibilities include:

- Provide administrative assistance to Compensation team members, including e-filing, compiling relevant grievance/inquiry file information, and preparing minutes.
- Compile and maintain for centralized access a database and filing system of various documents submitted by officers related to member inquiries, grievances and labour relations projects.
- Schedule appointments, events, and meetings. Liaise with participants and support with expense/time off claims.
- Respond to enquiries from internal and external clients by adapting template responses and gathering complementary information from online/internal documents. Convey relevant information to members.
- Prepare budgets and/or cost comparisons when required. Arrange and obtain approval of contracts for the purchase of required services.
- Receive, sort, and distribute mail and correspondence to the appropriate individual and indicate priorities.
- Compose, type, format, proofread, arrange for translation, post to the PIPSC website and/or package a variety of documents in various formats.
- As required, arrange travel, accommodation, and logistics for meetings in conformity with Institute travel policies as assigned. Input travel and meeting requirements into the Institute’s database for approval.

**How do I qualify?**
- Completion of secondary school or provincial equivalent.
- Two (2) to three (3) years’ experience in performing administrative duties, or an equivalent combination of education and experience.

**Required Knowledge, Skills and Abilities**:

- Knowledge of the Professional Institute’s organization and structure
- Basic knowledge of labour relations terminology
- Experience in general office practices and procedures
- Data manipulation skills to properly locate data.
- Ability to set work priorities.
- Ability to take and transcribe minutes of meetings.
- Ability to maintain a filing system.
- Ability to compose routine correspondence.
- Ability to proofread and correct errors.
- Computer skills and experience with word processing and communication tools
