**About the Role**:
The Administrative Assistant will provide comprehensive administrative assistance to the School of Nursing and Midwifery (SoNM), ensuring efficient operations and effective communication within the School.
This position requires initiative, attention to detail and the ability to work collaboratively within a dynamic educational environment.
**Responsibilities**:
- Manage data entry and tracking for clinical placements and pre-practice requirements.
- Coordinate meeting logistics, including venue bookings, audiovisual equipment, hospitality, and distribution of materials.
- Record, transcribe, and disseminate meeting minutes to faculty and staff.
- Maintain an organized filing system for the Bachelor of Nursing Program, including student files and course outlines, in compliance with FOIP regulations.
- Address student inquiries related to the BN Program and assist with clinical orientations and scheduling in D2L.
- Update admission packages and manage office supplies and logistics for events, workshops, and seminars.
- Assist in updating the BN Handbook and support the Curriculum Committee and BN program meetings.
- Provide calendar management and scheduling support as needed.
- Manage the SoNM website updates and participate in ongoing training.
- Draft and distribute newsletters, announcements, and other communications
**Qualifications**:
- One year Post Secondary Certificate/Program Completion
- Minimum 12-18 months of previous experience in working within an administrative role
- Previous work in a post-secondary institution required
- Ability to work in an office setting with various individuals
- Ability to work independently and with a group
- Excellent oral and written communication skills.
- Strong time management and organizational skills, and the ability to manage diverse activities and deadlines while remaining flexible to changing situations and priorities.
- Ability to handle sensitive information with discretion.
- Ability to work within and learn multiple new computer and web-based programs.
