The Office Manager and Assistant to the Dean performs a variety of complex, confidential administrative functions in support of the goals and objectives of the Dean, the Faculty, and Sheridan-wide academic initiatives.

The incumbent manages and coordinates projects, events and related Faculty activities and provides administrative leadership for a wide array of processes, procedures, and information critical to the Faculty's projects, planning initiatives, communication strategies, operations, and policy compliance. As a member of the FAAD management team, this position works closely alongside, and provides assistance to, the Dean, Associate Deans, Managers, and others in the Faculty.

The incumbent organizes and expedites the flow of work through the Dean's office and understands the programs and initiatives of the Faculty as well as of other divisions and departments throughout the College, to act on behalf of the Dean where appropriate. The incumbent facilitates communication for the Dean's office with internal and external contacts and provides administrative support for the academic processes and committees supported by the Dean.

What You’ll be Doing

Providing confidential administrative assistance to the Office of the Dean, FAAD, and coordinating activities flowing from the Faculty.

Participating and assuming responsibility for supporting resources and operations (working in coordination with Operations Supervisor, who tracks budgets and timelines) of multiple, concurrent projects and larger special events associated with the work of the Faculty.

Overseeing planning, assisting managers with developing the resources required and helping to coordinate marketing activities, and requirements outside of FAAD to ensure successful delivery of projects.

Providing leadership, guidance, and direction to part-time staff to assist with the work of the Office of Dean by Ensuring that the operational assignments of the team are carried out consistently with Sheridan policies, procedures and collective agreements.

Providing communication and curriculum coordination by writing and researching documents for National Association of Schools of Art and Design (NASAD) accreditation purposes. Also acts as Local Area Council (LAC)/ Academic Resource Committee (ARC) coordinator for the Faculty, coordinating, checking and collating curriculum documents to forward to approval bodies on deadline.

Developing, updating and maintaining a database of constituents (e.g. Program Advisory Council, Alumni) including notes from visits, meetings, etc. Co-ordinates with other Managers to help maintain a central information sharing system for communications and project tracking in the Faculty and co-ordinating with other managers to manage the database of activities related to enrolment planning, coordination of resources and communications for FAAD.

Performing other related duties as assigned.

You bring well developed Customer service skills with the ability to deal with faculty and students on a variety of issues

4-year bachelor’s degree preferably in business, office administration, communications or related field of study with a preference for areas including courses in project management, communications or design.

5 years of progressive experience providing senior leader administrative support (Equivalency will be considered)

Excellent writing skills, including use of digital communication tools

Demonstrated experience with coordinating projects and events
