**Summary Statement**
Under the supervision of the General Manager**,** the position provides service coordination and administrative support to customers and service team along with supporting the work of the Shop team at the TES location to ensure optimum customer satisfaction.
**Education Essential**:
1. Completion of a college diploma in a related field.
2. Service Experience, Co-ordination of Service Experience
3. Business/People Management Experience
**Knowledge Essential**:
1. A minimum of 5 years’ experience in a similar or related field.
2. Intermediate knowledge of Word and Excel.
3. Extensive technical knowledge of Trucks / Heavy Equipment / Passenger & Light Truck, the ordering process and service administration in the industry.
**Skills and Abilities ** **Essential**:
1. Excellent communication skills (verbal & written).
2. Excellent problem-solving skills.
3. Excellent interpersonal skills in order to maintain an excellent rapport with customers and Team Members.
4. Detail oriented and excellent organizational skills.
5. Ability to maintain and manage quality standards.
6. Ability to maintain confidentiality of pertinent data.
**Major duties and responsibilities**
1. Liaisons with customers and service providers to determine customer needs and manages customer issues.
2. Schedules repairs and services ensuring optimum customer satisfaction
3. Works with customers to resolve any complaints / issues
4. Advises customers if repair or service appointment is late or needs to be canceled due to urgent priorities.
5. Delegates work based on customer priorities and maximizes billable hours.
6. Ensures that all repairs and services are complete and signs off on work orders.
7. Manages and maintains quality systems; identifying and correcting quality issues when required.
8. Assists the Parts Coordinator as required to ensure timely completion of work orders.
9. Provides technical and repair support, as required.
10. Assists with the sourcing of diagnostic testing of auto / truck / heavy equipment, when required.
11. Maintains complete knowledge of and complies with company and departmental policies, procedures and standards.
12. Maintains client and company confidence by keeping information confidential and secure.
13. Completes and submits all paperwork in a timely manner.
14. Sets-up and organizes individual work area with designated supplies, forms and resources materials while maintaining cleanliness at all times.
15. Uses strong organizational and customer service skills when dealing with customers and vendors.
16. Maintains a positive working relationship with team members and management in a team environment.
17. Works in a safe manner and promotes safety to all team members.
18. Understands Budgetary responsibilities, works with General Manager to set and obtain Daily/Weekly/Monthly goals
**Responsibility for Decision Making**:
- Responsible for making all job-related decisions.
- Responsible for determining the priority of tasks within the scope of the position.
**Health & Safety Responsibilities**:
- Takes all reasonable precautions and plays an active role to protect the health and safety of employees in the shop.
- Completes required Health & Safety Training on-time.
- Complies with all requirements in the Health & Safety Program and the legal responsibilities under the Occupational Health & Safety Act.
**Working Conditions**
- Works both indoors and outdoors.
- Ability to lift & carry items weighing up to 50 lbs.
- Exposed to chemicals & flammable materials and noise in the repair service & center.
- Time allocated in working environments will vary (i.e. office/shop/field).
