Reports To: Culture & Engagement Manager

**Position Overview**

Under the direction of the Culture & Engagement Manager, the Operations Administration Assistant is detail oriented with strong interpersonal skills to engage, align, and inspire employees with the company’s vision and business strategy. This is a supervisory role.

**Qualifications**

**Education**:

- College degree or equivalent

**Experience**:

- 1-3 years of administration experience

Other Requirements:

- Use of the IT systems needed for your work (Word, Excel, Outlook, etc.)
- Able to deploy superior problem-solving skills
- Strong written and oral communication skills in French and English
- Excellent interpersonal, negotiation and conflict resolution skills
- The ability to keep sensitive information confidential.
- Attention to detail; ability to remain focused and organized, accountable and proactive

**Responsibilities**

Administration
- Answer and transfer phone calls to the necessary parties.
- Welcome customers, vendors and guests to the office.
- Co-ordinate tools and refreshments for scheduled visits.
- Manage the inventory of office supplies, uniforms, and coffee.
- Order business cards and JHT swag as needed.
- Assist with company events.
- In contact with landlord for outside service and maintenance.
- Oversee the use of AC/heating system as well as security/surveillance system.
- Oversee outsourced serviced are up to standards i.e., janitorial services, window cleaning.
- Create and manage a gym use log.
- Translate documents from English to French and/or French to English.
- Support the Directors with office renovations, office moves etc.
- Ensure all lights and radios are off at the end of the day.

IT:

- Coordinate with IT department for all office equipment.

Safety:

- Ensure workplace health and safety are being followed.
- Perform random office checks.
- Appraise worldly situations and suggest an action plan.

Maintain Work Practices:

- Maintain work environment to 5S standards
- Punctual: begins work on time and returns from lunch and breaks on time
- All paperwork and database entries filled out completely and accurately
- Promote a positive team atmosphere with co-workers
