About the role
We are leaders of HR from 2 teams: Talent management & Employee Experience team and IT and Digital team. We are looking for an E
xecutive Assistant to play a key role to support us and our teams.

If you want to make a difference by collaborating with driving change teams, you are well organized and like to be part of teams that works on many projects, this is the role for you.


This is a national role, you will be located in Québec but support leaders from Montreal and Toronto.

You will:

  • Provide administrative assistance to 2 Vice-Presidents in HR as well as their direct reports. You will help them with managing their agenda, traveling, expenses, and coordination of small events.
  • Provide support to the management members in certain administrative tasks.
  • Ensure that the Vice-President and management team are prepared for meetings including, ensuring that documents and materials are ready in advance; PowerPoint presentations have been revised and formatted, resolve scheduling conflicts, etc.
  • Run confidential reports and create PowerPoint presentations, Word documents, or Excel spreadsheets on department projects, activities, and results.
  • Partner with Human Resources to maintain and followup on related files in the operation of the department. Ensure that the organizational charts for each team are maintained and up to date.
  • Plan and coordinate meetings and events, including invitations, facilities, ordering catering, equipment, materials, agendas, followup on action items, guest liaison, and other related requirements.
  • Prepare correspondence, presentations, reports, make editorial changes, and contribute in content and design of management communications and reports.
  • Lead the budget management of the department and manage expense reporting, ensuring regular review processes are in place.
  • Participates in special projects and any other related tasks.

Your Skills

Education and Experience:

  • College diploma in administration or Bachelor's degree in a related field
  • Experience in a large organization in a support role

Abilities and Knowledge:

  • Strong organizational skills and a demonstrated ability to deliver results in a fastpaced dynamic environment.
  • Strong resourcefulness, ability to work autonomously and in collaboration with colleagues
  • Demonstrated ability to maintain discretion and strict confidentiality.
  • Advanced skills in MS Office Suite (Word, PowerPoint).
  • Demonstrated ability to handle multiple priorities and deadlines in a fastpaced environment.
  • Excellent listening and communication skills and the ability to tactfully foster strong working relationships.
  • Bilingualism is a requirement
