**EXECUTIVE ASSISTANT TO THE POLICE SERVICES BOARD**:
***

The Woodstock Police Services Board is seeking a professional, organized, and efficient team player who will exhibit excellent communication skills and establish effective working relationships with Board members, Senior Police personnel and the community.

**Overview**:
As Executive Assistant to the Police Services Board, reporting directly to the Board Chair, you will perform confidential clerical duties for the Police Services Board and carry out assignments and conduct research, as directed by the Board.

**Responsibilities**:

- Responsible for all clerical operations for the Police Services Board including agendas, minutes, reports, by-laws, policies, research and maintenance of confidential information.
- Co-ordinating and attending the WPSB monthly meetings including preparing and distributing agendas, updating the website, coordinating delegations, notifying stakeholders and reporting and tracking outstanding matters.
- Conducting research and special assignments for the Police Services Board.
- Maintaining accurate filing systems including purging of records.
- Liaising with Ministry of Solicitor General, the Ontario Association of Police Services Boards, the Canadian Association of Police Governance, WPS Administration and municipal staff as required, and ensure the Board is informed of the Association correspondence.
- Liaising with WPS staff to update the WPSB website as directed.
- Attending conferences, training sessions, other meetings as required.
- Receiving and distributing mail for the WPSB and helping with responses or other correspondence on behalf of the Board.
- Organizing and coordinating meetings and special events in consultation with the Chair.
- Making travel arrangements for Board members for conferences and processing all expenses, as per Board policy.
- Preparing reports for the Ontario Association of Police Services Board Zone 4 meetings.
- Preparing and coordinating notices or advertisements in the local media.
- Monitoring WPSB budget, coding invoices for the signature of the Chair.
- Providing payroll related information to the City of Woodstock as it relates to remuneration for the WPSB members.
- Performing other duties as assigned.

**Qualifications**:

- Minimum of two (2) years of progressive and related work experience.
- Excellent organizational and critical thinking skills.
- Demonstrated ability to maintain confidentiality.
- Ability to work independently, and with a high degree of accuracy under strict time constraints.
- Excellent interpersonal, writing, minute taking, priority setting and records retention skills.
- Proficiency with Microsoft Office.

**Even better if you have**:

- Knowledge of Police Services Act and the Municipal Freedom of Information and Protection of Privacy Act
- Completion of online training relating to Parliamentary Procedures

**Application Details**:

- Salary rate of $27.00 per hour.
- May be required to travel for meetings and training.
- Anticipated total hours per month is 10-15 hours. Must be available to attend occasional meetings scheduled in afternoons and evenings.
