**You are**

An **_Executive Administrative Assistant_**. You will provide administrative and technical support to the Directors of Provincial Services. Contributes to Manitoba Possible services overall functions, related to Governance, Management, Programs & Public Relations. Actively participates in the development/ implementation of new initiatives as required.

**Your Role**
- Provides administrative and technical support to the Directors of Provincial Services and Directors for management related functions, which includes but is not limited to:

- Financial management of the Corporate Office budget
- Management of systems and processes for the creation, transmission, retention, destruction of communication materials in all formats.
- Management of the Directors’ schedule.
- Provides administrative and technical support to the Directors of Provincial Services for the delivery of Programs which includes but is not limited to:

- Budget
- Contracts
- Logistical Support
- Distribution of Reports
- File Retention/Destruction
- Provides support to services for community relations which includes but is not limited to:

- Represent Directors and Manitoba Possible services at various functions.
- Public relations (hostess).
- Troubleshooting.
- Participating in corporate initiatives.
- Represent or be involved in various committees or task forces.
- Ensure compliance and adherence to privacy and confidentiality as outlined in professional standards of practice, agency, provincial and federal guidelines.
- Provides the Directors of Provincial Services (and members of the management team, individually and collectively) with Executive, Administrative, logístical support including, but not limited to:

- Contributor to Manitoba Possible services overall success by participating in corporate initiatives as directed by the Directors, Provincial Services.
- Assists Manitoba Possible Corporate Office in compliance with Manitoba Possible’s policies and procedures (e.g., record retention, Privacy Policy, etc.).
- May represent Manitoba Possible Services on various Manitoba Possible committees or task forces.
- Participant in various projects within or on behalf of Manitoba Possible Services as designated by Directors, Provincial Services.
- Back-up relief for Manitoba Possible Services Administrative support position(s), as required.
- Preparing various cyclical reports as required for Manitoba Possible Directors, Provincial Services.

**What You Know**
- 3-5 Years experience in executive/senior administration and office management complimented with a relevant degree or diploma within non-profit sector.
- Advanced skills in Microsoft Outlook, Excel, PowerPoint and Word; ability to quickly learn additional software programs, as required.
- Ability to work well, individually and as team member, under pressure to meet deadlines.
- Excellent communication skills both oral and written, ability to communicate confidently and professionally with people.
- Self-starter, highly motivated, enthusiastic.
- Experienced in budget/bookkeeping with financial data.
- High degree of discretion and dealing with confidential/sensitive information.
- Flexibility in hours of work may require weekends, evenings or travel.
- Functions in a professional manner to promote Manitoba Possible’s image both internally and externally.
