**We are currently looking for a full-time administrative assistant to join our Peterborough office**

The administrative assistant provides administrative support services. Operationally speaking, the position is key in helping to advance and facilitate the office’s main objectives and priorities through positive communication, and by helping to address the needs of both advisors and clients.
- Acts as the first line of response with clients in person, and over the telephone. Takes accurate messages to enable staff to respond appropriately. Creates and maintains systems to monitor requests and/or questions to be handled.
- Office supply inventory management.
- Changes phone messages and door signs when needed.
- Prepares invoices, tickets and other documentation as needed.
- Assists with the conference/groups department as needed.
- Assists with the charter department as needed.
- Assists with social media as requested.
- Assists with website updates as required.
- Managing all incoming and outgoing mail.
- Brochure management amongst all branches.
- Bus invoicing and payments as well as other assistance to the bus department as needed.
- Weekly accounts payable.
- Provides various administrative and/or business services to staff to ensure the flow of operations.
- Performs other related duties within the scope of the position.

- Must be an exceptional communicator.

- Superior organizational skills.
- Good administrative skills and ability to multitask.
- Ability to work in a fast paced environment independently and as part of a team.
- Strong critical thinking skills, attention to detail and problem-solving.
- High degree of self-motivation to learn and to take initiative.
- Computer savvy/ proficient with Microsoft outlook, word, excel, powerpoint etc.

**Education and experience**
- Experience working in an office setting providing reception or administrative support.
- Post-secondary education from a recognized institution OR an acceptable combination of education, training, and relevant experience.

The hours of work are Monday-Friday from 9am-5pm at our Peterborough office location. We are looking to fill this position as soon as possible.

Schedule:

- 8 hour shift

**Education**:

- Secondary School (preferred)

**Experience**:

- Administrative: 3 years (preferred)
