Reporting to the Administrative Manager, Medical Affairs and Credentialing Operations (MA&CO), the Credentials Coordinator is the initial point of contact and is responsible for coordinating all aspects of the credentialing and privileging process for all PHSA medical staff in accordance with the medical staff Bylaws & Rules, agency policies and legislated regulations. This position works with Department/Division Heads and Program Directors in overseeing the appointment, reappointment and annual review of all medical, dental, midwifery, and scientific and research staff, as well as the coordination of registration for temporary privileges, house staff with clinical duties, and observers without clinical duties.

The Credentials Coordinator is a resource for interpretation of the Bylaws & Rules, and maintains current and historical documentation of Bylaws & Rules, committee meetings and confidential medical files for posterity and medico-legal issues. This position provides administrative assistance to several Agency medical staff committees, and is responsible for the invoicing, collection and processing of annual dues, bookkeeping entries, and reconciliation of financial statements for audit purposes.

The Credentials Coordinator collaborates with the Administrative Manager, MA&CO in the development and implementation of a provincial web-based credentialing prototype system, which will be adopted by other Health Authorities for their use, with links to Bylaws, Rules, and Agency and legislative policies. This position also participates in the implementation of a web-based in-depth review process for PHSA medical staff, in keeping with quality of care, patient satisfaction, and medical staff goals and objectives within the organization.

The Credentials Coordinator functions independently in most areas of work, using experience and judgement in day-to-day operation and system issues. Responsibilities include the accurate and timely preparation, maintenance, and distribution of all documentation relating to the appointment, reappointment, review, and credentialing of all PHSA medical staff. The Credentials Coordinator maintains the medical staff office personnel files and database of all PHSA medical staff members, and appreciates and protects its confidentiality at all times.

The Credentials Coordinator provides comprehensive administrative assistance to the Medical Staff Association and its executive committee, including organizing all aspects and logistics of quarterly meetings encompassing 500 medical staff attendees, serving as recording secretary, and composing and distribution of minutes. In this capacity, the Credentials Coordinator oversees financial administration, management, and collection of annual medical staff dues, including distribution of notices, collection and deposit of funds, generating financial statements, and liaising with PHSA Finance regarding reconciliation. This position requires short and long term planning skills, paying close attention to detail and ensuring accuracy and efficiency in all aspects of work.

The Credentials Coordinator works collaboratively with other department members in Medical Affairs and with members of the Quality, Safety and Risk Management team and interacts in an open, constructive and mutually respectful manner with other members of the organization and the public. Additionally, the Credentials Coordinator acts in the capacity of Administration Manager, MA&CO as necessary, during absences.

**Communications**

The Credentials Coordinator anticipates, assesses and responds effectively and in a timely manner to the needs of internal and external staff, as well as the public, making excellent customer service a first priority.

Internally, the Credentials Coordinator establishes and maintains effective communications with departmental, divisional and program leaders, as well as the Medical Staff Association (MSA) President and Executive, and Chairs of the other committees supported by the department. The Credentials Coordinator fosters a positive relationship with all staff that collaborate with the Medical Affairs portfolio, including members of the medical staff and their administration, Human Resources, Admitting, Protection Services, Logistics, Decision Support Services, Health Records, BCCH & BCW Foundation, and Information Management/Information Technology, commonly exchanging information. The Credentials Coordinator communicates effectively with all involved staff throughout the medical staff appointment and review process, and collaborates with the BC Children’s Hospital Foundation and PHSA Finance regarding financial management and investment of medical staff designated funds.

Externally, the Credentials Coordinator communicates regularly and effectively to facilitate the exchange of information with representatives of the BC College of Physicians and Surgeons, College of Dental Surge
