**Office Assistant Including Conveyance, Reception & Accounts Payable Support**
This position will provide support to the receptionist and accounts payable positions, as well as manage other in office administration. You would assist by:
Assist Accounting Department:
- receiving invoices, filing
- coordinating signatures for cheques and pick up or mailing to contractors
Administrative and Office Assistance assist with:
- key administration (supported) - become our resident expert
- with completion of Strata Property Act Forms B and F conveyancing documents
- Worksafe BC Returns
- GST Returns
- with preparation of bookkeeping matters
- filing
- Excel spreadsheet and a/r entry into Sage Accounting
- agenda and minutes preparation assistance
- daily sanitizing, weekly garbage removal, recycling and dusting when time allows
Assist Distribution:
When supporting the Reception Position:
- being on time to potentially open the office for 8:30 and stay until 4:30 when required
- greeting at the front desk
- collecting and distributing information received
- answering phones and directing calls (we have an automated system)
- date stamping and scanning incoming documents to the server and managers
- writing welcome packages for new owners
- assisting with providing keys to contractors, with the support of other staff
- filing, copying, scanning
- directing incoming calls, including directing emergency calls in an assertive and common sense fashion
- learning and assisting with the duties of an unlicensed assistant under the Real Estate Services Act
- updating contact information
- managing petty cash
- receipting cash collected on behalf of strata clients
- advising when enterphones need updating
- charging for lost or new keys/fobs
- advising when elevator blankets need to go up at buildings

- DCS / DEC (preferred)
**Experience**:
- Bookkeeping: 3 years (required)
