POSITION: Project Administrator REPORTS TO: Director, Projects

We are looking for an Project Administrator to join our Projects team Our Project Administrator will be working directly with our Projects and Finance teams to ensure that the business is accurately budgeting for and costing out projects, creating project schedules, and following best practices for capturing project costing and operational performance data.

- You have experience? with project schedules, purchase order entry and tracking, project estimating and reporting, employee time tracking and varied administrative responsibilities

EXPERIENCE
- You have 2+ years’ experience working in a project administrative role
- You have a Degree in Business or related discipline

NICE-TO-HAVE
- Knowledge of Microsoft GP
- Experience in accounting for capital projects for a manufacturing company

THINGS YOU WILL DO
- Collaborate with the Project division leadership to develop and maintain all projects in Wrike (Project Management Software)
- Input data required (costs, labor, timelines, etc.) to show a comprehensive breakdown with dependances in Wrike
- Assist the PM’s in budget creation and analysis of projects
- Create new projects and enter project budgets into Microsoft GP and update project budgets/forecasts as required
- Implement and maintain work schedules

THINGS YOU WILL DO(CONT’D)
- Work with project managers to ensure they understand project forecasts and performance versus budget and provide commentary on project variances.
- Work with Finance to ensure project reporting meets the needs of the Projects team
- Support of audit requirements for capital asset additions and disposals
- Manage project staff time capture system (Clockify) including review of weekly hours, follow up with project staff and correction of errors. Maintain accurate project listing in Clockify.
- Enter project related PO’s into Microsoft GP and provide PO numbers to project vendors
- Code and administrate approval of Project Division vendor invoices
- Regular and adhoc reporting including PO’s issued in the last week, outstanding PO’s, Clockify reports
- Work with accounting team to create new costing setups in GP as required
- Various project administrator tasks including support of permit process on projects
- Support Project Division equipment sourcing requirements, online research and purchases
- Implement and maintain an inventory management system Administrate documentation requirements for onboarding of new vendors in conjunction with accounts payable
- Other duties as assigned

- May on occasion work outside of regular office hours as the job requires
- Valid DL and vehicle required
