The Accounting and Procurement Administrator is primarily responsible for recording the company's financial transactions into Quickbooks Online and procuring goods and services depending on the company's needs. This position will report directly to the Director of Operations and Finance and be a valuable member of the Administration team, assisting colleagues with other administrative tasks as assigned.

**Primary Responsibilities**

The list below offers a broad overview of various administrative functions within the organization where an Administrator may be involved. Based on the internal workload and resource allocation, the Administrator will be assigned to focus mainly on specific functions in the Job Description document; however, the Administrator may be asked to perform additional duties in other areas based on the business needs.

**Accounting Administration**
- Collaborate with the company's outside accounting firm to ensure the smooth processing of accounts payable transactions.
- Create customer invoices, receive payments, and follow up with customers on inquiries and overdue accounts.
- Record employee expense reports.
- Keep financial spreadsheets up to date.

**Procurement**
- Research suppliers for goods and services
- Gather quotes, proposals, agreement terms, etc.
- Evaluate and negotiate contracts with vendors
- Manage profit and loss reporting on company purchases
- Monitor subscription services for price increases and usage and report findings

**Travel Administration Booking**
- Arrange travel reservations by organizing the company’s travel needs and procuring necessary documentation while staying within the travel budget.
- Monitor travel to notify staff of any disruptions to their travel and provide alternative arrangements if required (may involve flexing hours to accommodate)

**Office Administration - Backup**
- Other duties to assist colleagues upon request.

**Qualifications** Education & Training**
- Post-secondary education in accounting

**Experience**
- 3+ years of experience in accounting administration and procurement is preferred.

**Skills and Aptitudes**
- Solid computer skills in Microsoft Office Suite (Word, Excel, etc.)
- Experience with Quickbooks Online or another accounting system
- Excellent math skills are required
- Ability to work independently with mínimal supervision and ability to work flexible hours
- High organizational skills with attention to details
- Strong multi-tasking capability and time management skills
- Superb communication skills, both verbal and written

**Certification/Licenses**
- Bookkeeping or Accounting certification

**Environment and Physical**
- Work in a fast-paced environment with changing priorities
- Be able to sit for prolonged periods
- No travel required

**Location of position**
- Fully remote, must have reliable internet
