We have an immediate opening for a proposal coordinator in our Vancouver office to support our Building Science Group.
- Responsibilities:
- Proposal writing support:- Input new opportunities into CRM.
- Draft Proposal based on fee table from technical team.
- Modify marketing material as needed.
- Analyze Request for Proposals (RFPs) and Request for Qualifications (RFQs). Outline and organize proposals/submittals to be responsive to clients’ requirements, including content, format, forms and other information.
- Use template information to begin building RFP responses and work with project personnel for content quality and accuracy. Create, proofread, and edit proposal text for proper grammar, spelling, comprehension and style.
- Participate in the selection and recommendation of appropriate projects and personnel to be included in proposals, according to RFPs/RFQs.- Data Management:- Assist team with data entry and reporting using company databases including but not limited to:Client/proposal management (CRM)
-New Projects (PIA)
-Financial information (BST)
-Staff management (Workday)
Compile monthly reports including:New Business (Working Backlog, Proposal secured, Proposal Issued)
-Project Financials (Revenue, NLM, Variances)
- Document Management:- Assist with technical documentation of processes, tools and reference documents.
- Work with practice leads to sort and format existing documents.
- Work with technical development coordinator to post completed documents to Knowledge Portal site (SharePoint) using assigned meta data.
- Assist practice leads in the development of new documents.
- Maintain the group’s SharePoint Page views on Knowledge Portal.
- Enter technical information on Knowledge Portal site’s Technical Wikis.- Marketing Support:- Collect contact information from team members, enter into CRM and into marketing lists.
- Coordinate obtaining photos of projects for squares and update squares.
- Act as liaison between BU BD+M and Department to ensure speaking opportunities are relayed to BU for digital marketing, etc.
- Manage presentations bookings; assist in developing/finalizing presentations.
- Coordinate trade show attendance with direction from DM, as needed.
- Contribute to internal and external communications (draft announcements of new hires, provide content suggestions).
- Writing and updating resumes, project descriptions and other marketing material.
- Lead or co-lead internal bi-weekly marketing meeting for coordination purposes.
- Maintain association memberships for team members.- Qualifications:- Undergraduate degree or equivalent years of experience.
- Minimum 5 years of experience in an administrative support role.
- Graphic design and/or production experience a plus.
- Excellent researching, writing, organizational and communication skills.
- Detail oriented.
- Understanding of architecture, building envelope and construction industry concepts, terms and processes a plus.
- Ability to work independently, take initiative and multi-task to meet deadlines in a fast-paced environment.
- Experience working with teams in multiple offices.
- Excellent working knowledge of Microsoft Office products with emphasis on Word, Excel, PowerPoint and Outlook.
- Experience with SharePoint a plus.
- Confidence in interacting with all levels of management and clients
- Experience within the Architectural/Engineering/Construction industry a plus.**Job Type**:
