**Job Description: Coastal BC Office Manager for National Office in Nanaimo**
**Key Responsibilities**:
- Manage administrative tasks and ensure the smooth functioning of the National Telco Sales Office in Nanaimo.
- Interact with executives, building owners, and commercial leaseholders to facilitate effective communication and address their needs.
- Utilize ZOHO CRM to track sales follow-ups, update client information, and generate reports for sales performance analysis.
- Maintain accurate records and documentation related to sales transactions, client communications, and office activities.
- Work closely with remote team members, providing support and guidance as needed to ensure consistent performance.
- Manage office supplies, inventory, and equipment maintenance to ensure a well-equipped and efficient workspace.
- Utilize Quickbooks to manage financial transactions, invoices, and expense tracking.
- Contribute to the development and implementation of office policies, procedures, and protocols.
- Assist with the negotiation and management of commercial leases and contracts.
- Maintain a calm and organized work environment, even during busy periods, to ensure productivity and professionalism.
- Proficiency in French is considered an asset, allowing for effective communication with bilingual stakeholders.
- Exhibit strong phone skills while handling client inquiries and facilitating communication.
- Demonstrate a high level of focus and organization, particularly when managing remote work responsibilities.
**Qualifications and Skills**:
- A minimum of 5 years of experience in office management or a related field.
- Proficiency in MS Office suite (Word, Excel, PowerPoint) for documentation, reporting, and presentation purposes.
- Experience using ZOHO CRM for customer relationship management and sales tracking.
- Familiarity with Quickbooks for financial management and record-keeping.
- Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
- Experience working with executives, building owners, and handling commercial leases is advantageous.
- Proficiency in French is considered an asset for effective communication with bilingual stakeholders.
- Exceptional phone skills to manage client inquiries and maintain positive relationships.
- Calm and composed demeanor, even in fast-paced and high-pressure situations.
- Highly organized with excellent attention to detail and the ability to multitask effectively.
- Self-motivated and able to work independently, particularly in an 80% remote work setting.
- Strong problem-solving skills and the ability to adapt to changing priorities.
