We are currently seeking a **People Experience Administrator** to join our People Experience (PX) Department. This entry-level position provides administrative support to the PX team with respect to various PX activities including but not limited to, Human Resource Information System (HRIS); health, safety and wellness; PX policies; and team support. This opportunity is for a 6-month contract.

**What you’ll do**:

- Complete Onboarding steps in UltiPro for new hires (2 steps)
- Set up New Hires in corporate systems
- Communicate system credentials and new hire process to hiring managers
- Accurately complete transactions and workflows in the HRIS on time and as per procedures using the appropriate checklists, letters, or forms, and asking questions where information is unclear.
- Administers PX responsibilities as prescribed by various PX policies and programs, including the Employment Reference Policy and Leave of Absence Policy (e.g. bereavement charitable donation, new baby gift).
- Updates PX pages on the company's intranets (The Hub/Fraser/good prospects), including policies, procedures, articles, and documents, with appropriate approvals.
- Manages the shared PX Microsoft Outlook inbox, responding to or forwarding inquiries as appropriate
- Ensures organizational charts are kept up to date and published for employees bi-weekly.
- Maintains employee records, including weekly filing and annual document retention and storage processes.
- Completes Employment Verifications for current and past employees.
- Prepares meeting agendas and takes and distributes meeting minutes, as needed.
- Processes and files invoices, obtaining necessary management authorizations.
- Review report request trends to identify opportunities to extend user BI report access or create scheduled reports.
- Processes automated BI reports as per instructions in a timely manner.
- Support and develop standard and ad-hoc reports and extracts from HR systems to satisfy business needs.
- Conduct annual audit of active scheduled reports to ensure that the reports are still relevant to the recipients.
- This position requires frequent communication with all levels of the PX team and the organization. The type of communication is typically confirming and providing relevant new hire information to hiring managers, providing meeting updates (agendas and minutes). Information is typically gathered from other sources.
- Required to identify information gaps in the onboarding process and determine how the missing information is to be gathered.
- Has access to confidential employee information and will need to use discretion and determine when/what information can be shared.
- Required to identify PX policy information gaps and policies requirement updating.
