Under the direction of the Office Manager, the Bilingual Receptionist/Administrative Assistant operates a multi-line telephone system to answer incoming calls; directs callers and customers to appropriate personnel and completes a variety of administrative duties. Hours of work are 7:00am to 4:00pm after training.
**Essential Responsibilities**:
- Front line for office visitors and the recording and distribution of visitor/security badges.
- Receive and forward calls from customers and dealers to applicable departments.
- Receive incoming courier packages, document weigh bills, and distribute contents to relevant departments.
- Responsible for outgoing courier packages as needed.
- Arrange deliveries as necessary.
- Ensure the reception area is always clean.
- Responsible for ordering supplies and the upkeep and cleanliness of the supply room.
- Preparation of outgoing marketing material as requested by field staff.
- Set up & clean up of the boardroom before and after meetings (coffee, water, edibles).
- Provide administrative assistance to the Cancellations and Dealer Support teams when available.
- Other duties as assigned.
**Qualifications**:
- Highschool Diploma.
- Minimum 2 years experience in a reception role, preferably in the insurance or banking industry.
- Fluent in both English and French with proven skills in verbal and written communication.
- Intermediate skill with Microsoft Office (Word/Excel).
- Keyboarding 65+ words per minute.
